Job Description
Position Summary
The Children’s Health Center with 2 locations (Middletown & Marlboro) and is seeking a Pediatric Call Center Representative to join our team. This role is responsible for managing a high volume of inbound calls while providing compassionate, efficient, and exceptional customer service. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced healthcare environment. This position requires the ability to multitask, communicate effectively, and support families with empathy while ensuring timely access to pediatric care. The Call Center is located in our Marlboro office.
Essential Duties and Responsibilities
Answer a high volume of incoming telephone calls promptly, professionally, and courteously.
Schedule well-child visits, same-day sick appointments, follow-up visits, behavioral health appointments according to scheduling guidelines.
Accurately document all patient interactions in the electronic medical record (EMR).
Route clinical questions and concerns to our providers and provide follow up when needed.
Identify urgent or emergent concerns and escalate appropriately.
Process prescription refill requests and forward them to the appropriate clinical team.
Assist families with appointment preparation, vaccine schedules, referrals, laboratory results, and general office information.
Verify and update patient demographics, insurance information, and preferred pharmacy.
Manage voicemail messages, patient portal communications, and callback requests in a timely manner.
Coordinate referrals and authorizations as directed.
Educate families regarding office policies, after-hours care, and appointment expectations.
Maintain strict confidentiality in accordance with HIPAA regulations.
Collaborate closely with physicians, nurse practitioners, nurses, medical assistants, and front office staff to ensure seamless patient care.
QualificationsRequired
High school diploma or equivalent.
Minimum of one year of customer service or call center experience.
Excellent verbal communication and interpersonal skills.
Strong computer proficiency and accurate data entry skills.
Ability to prioritize multiple tasks while maintaining attention to detail.
Demonstrated ability to remain calm and professional during high-call-volume periods.
Preferred
Experience working in a pediatric, family medicine, or specialty medical practice.
Experience with electronic medical record (EMR) systems.
Knowledge of pediatric medical terminology and vaccine schedules.
Pay: $16.00 - $18.00 per hour
