Client Coordinator / Receptionist

Medical Aesthetic & Wellness Clinic | Newton, MA
We are a growing Korean medical aesthetic and wellness clinic seeking a friendly, professional, organized, and motivated Client Coordinator / Receptionist to join our team.

This position is more than a traditional front-desk role. The Client Coordinator is an important part of the client experience—from the first phone call or online inquiry through scheduling, check-in, treatment coordination, and follow-up.

We are looking for someone who is warm and welcoming, communicates professionally, stays highly organized, and is comfortable discussing aesthetic and wellness services with clients.

Key Responsibilities
Welcome clients and provide a professional, warm, and attentive experience
Answer incoming phone calls, text messages, emails, and online inquiries
Schedule, confirm, reschedule, and coordinate client appointments
Manage the daily appointment schedule and help maintain efficient patient flow
Check clients in and out and process payments
Respond promptly and professionally to new client inquiries
Educate clients about available treatments, services, memberships, and current promotions
Assist clients with selecting appropriate consultation appointments based on their interests
Follow up with prospective clients and help convert inquiries into scheduled consultations and appointments
Follow up with existing clients regarding appointments, treatment plans, and future visits
Maintain accurate client information and documentation
Assist with membership enrollment, packages, promotions, and special events
Help maintain a clean, organized, and professional reception area
Coordinate with providers and clinical staff throughout the day
Protect client privacy and maintain confidentiality at all times
Support general administrative and office responsibilities as needed
Qualifications
Excellent customer service and communication skills
Professional, friendly, polished, and dependable
Strong organizational skills and attention to detail
Comfortable speaking with clients by phone, text, email, and in person
Comfortable discussing pricing, promotions, memberships, and treatment options
Ability to multitask in a busy clinical environment
Strong computer and scheduling-system skills
Ability to work independently while also being a strong team member
Reliable and punctual
Preferred Qualifications
Previous experience in one or more of the following is preferred:
Medical aesthetics or med spa
Dermatology or plastic surgery
Medical or dental office
Wellness clinic
Luxury spa or skincare
Hospitality or high-end customer service
Front desk, receptionist, patient coordinator, or sales/customer service role
Knowledge or interest in K-Beauty, skincare, medical aesthetics, and wellness is a plus.
