Job Description
Job Overview: Rincon Physical Medicine and Rehabilitation is a medical clinic specializing in diagnosing and treating traumatic brain injuries (TBI’s) and musculoskeletal injuries. Our comprehensive team of practitioners work closely with each and every patient to create and implement a detailed, humanistic treatment plan that takes into account all aspects of a patient’s condition, both seen and unseen injuries, to reach one goal – improving that patient’s quality of life by helping them achieve functional independence.
The Clinic Receptionist serves as the first point of contact for patients and plays an essential role in maintaining the flow of daily operations. This position supports scheduling, patient intake, communication, and front desk coordination while ensuring all processes are handled with accuracy and care. Through strong organization and clear communication, this role contributes directly to a positive and efficient patient experience.
Essential Functions:
Answer, screen, and route incoming calls in a professional and timely manner.
Manage and return all missed calls and voicemails by the end of each business day.
Complete patient reminder and appointment confirmation calls.
Greet and receive patients and visitors in a professional and welcoming manner.
Ensure the reception area is clean, organized, and presentable at all times
Schedule appointments and check in patients.
Obtain, update, and maintain accurate patient information and records.
Ensure all required patient forms, consents, and documentation are completed accurately.
Support real-time schedule adjustments and front desk operations to ensure efficient patient flow throughout the day.
Escalate patient complaints, urgent issues, and same-day operational challenges to appropriate leadership.
Handle new patient referrals, including intake, preparation, and scheduling
Assist clinicians with administrative and front desk support as needed.
Complete monthly office inventory and support supply tracking.
Input patient data into electronic health record (EHR) systems and ensure the integrity of the information.
Perform other duties as assigned.
Qualifications:
Ability to communicate clearly and effectively with patients and other external parties in a courteous and friendly manner at all times
Excellent interpersonal skills
Must be able to maintain confidentiality at all times
2 years of medical office experience
Must be detail-oriented and highly organized
Willingness to learn medical practices, administrative processes, and organizational policies
High school diploma or GED required
