About the Role
We are seeking a friendly, detail-oriented Customer Service Representative (CSR) to serve as the first point of contact for our patients, caregivers, referral sources, and commercial customers. In this role, you’ll handle customer inquiries, process orders, coordinate services, and ensure accurate documentation while delivering exceptional customer service in a fast-paced healthcare environment.
What You’ll Do
Serve as the initial point of contact for customers in person, by phone, and occasionally online
Receive, qualify, and process customer orders accurately and efficiently
Enter and maintain patient demographic, referral, physician, diagnosis, and insurance information
Answer phones professionally and gather complete order details
Assist patients with equipment, supply, and service selection and provide basic instruction
Coordinate deliveries, setups, and equipment pick-ups
Prepare and manage delivery tickets, prescriptions, and required documentation
Maintain organized and compliant patient records
Greet walk-in customers and assist with retail sales and intakes
Collect co-pays, deductibles, or full payments and process transactions accurately
Respond to customer inquiries and assist with resolving service concerns
What We’re Looking For
Required:
High School diploma or equivalent
Excellent communication and customer service skills
Ability to work efficiently in a detail-oriented, customer-focused role
Preferred:
Experience in HME/DME or medical office settings
Knowledge of medical terminology
Prior data entry experience
Typing speed of 40+ WPM and 10-key proficiency
Bilingual (Spanish) a plus
Physical & Work Requirements
Ability to sit, stand, and work at a computer and phone for extended periods
Ability to lift up to 25 pounds regularly and up to 55 pounds occasionally
Fine motor skills for typing, filing, and office equipment use
Ability to think quickly, stay organized, and manage multiple priorities
Compliance & Confidentiality
Adherence to HIPAA, patient confidentiality, and company safety policies is required
