Job Description
We are seeking a dedicated and highly organized Dental Administrator to join our busy Oral & Maxillofacial Surgery practice. As the first point of contact for our patients and referring offices, you will play a vital role in creating a calm, professional, and supportive environment for patients undergoing surgical care. This position involves advanced scheduling, referral coordination, and patient billing, including accounts receivable follow-up.

Key Responsibilities
Greet patients warmly and manage surgical check-in and check-out procedures
Schedule consultations and surgical appointments, coordinating operating time, sedation requirements, and surgeon availability
Answer phone calls and manage in-person inquiries from patients and referring dental offices with professionalism and accuracy
Manage patient billing and accounts receivable, including: Generating surgical invoices, estimates, posting payments, following up on outstanding balances
Maintain accurate patient records and referrals using Curve Hero
Process and track insurance claims, pre-authorizations, and reimbursements related to oral surgery procedures
Coordinate with surgeons, nurses, and sterilization staff to ensure smooth daily surgical workflow
Maintain an organized, clean, and patient-ready front desk environment
Assist with office policies, privacy standards, and compliance with health and safety regulations
Support referral management, including receiving, documenting, and following up on incoming referrals
Required Skills & Qualifications
1–2 years of experience in a dental clinic (oral surgery or surgical specialty preferred)
Proficiency with Curve Hero (preferred)
Strong understanding of oral surgery procedures, dental terminology, and sedation workflows
Working knowledge of surgical billing, insurance coordination, and accounts receivable
Excellent front-desk and administrative skills, including managing high-volume, multi-line phone systems
Strong multitasking, prioritization, and time-management abilities in a fast-paced environment
Exceptional verbal and written communication skills
Calm, professional, and compassionate demeanour, especially with anxious or post-operative patients
