Dental Practice Assistant / Patient Care Coordinator

About Refine Dental Hygiene
Refine Dental Hygiene is an independent dental hygiene practice in Huntsville, Ontario, focused on providing an elevated, personalized approach to preventive oral healthcare.
We are a growing, modern practice with a strong focus on patient experience, prevention, Guided Biofilm Therapy (GBT), technology, and creating an environment where patients feel genuinely cared for.
As our practice continues to grow, we are looking for an experienced Dental Practice Assistant / Patient Care Coordinator who can help us deliver an exceptional experience from the first patient interaction through to the completion of their appointment.
This is not a traditional high-volume dental reception position. We are looking for someone who takes pride in details, anticipates what needs to be done, and genuinely enjoys taking care of people.
The Role
You will work closely with the Registered Dental Hygienist/owner and help oversee the day-to-day patient and administrative experience at Refine.
Your responsibilities may include:
Welcoming patients and creating a warm, professional first impression
Managing incoming calls, texts, emails and patient inquiries
Scheduling and coordinating appointments
Helping maintain a productive and organized schedule
Confirming appointments and assisting with schedule changes
Managing patient intake and administrative documentation
Processing payments and assisting with dental insurance/direct billing
Communicating treatment estimates and appointment information
Following up with patients when needed
Maintaining accurate patient records
Helping prepare treatment rooms and supporting clinical flow when required
Assisting with sterilization, stocking and organization as needed
Helping maintain the polished, clean and welcoming environment of the practice
Supporting other administrative and practice-growth initiatives as the role develops
Who We're Looking For
Our ideal candidate has at least 3 years of dental experience and understands how a dental practice operates.
You are:
Exceptionally warm and professional with patients
Confident communicating by phone, text, email and in person
Highly organized and attentive to detail
Comfortable working independently and taking initiative
Able to anticipate what needs to happen next
Calm and solutions-focused when the schedule changes
Comfortable learning and using technology
Familiar with dental terminology, insurance and dental practice workflows
Reliable, punctual and accountable
Someone who notices the little things that make a patient experience exceptional
Experience with dental practice management software and electronic insurance/direct billing is strongly preferred. Experience with Curve Dental is an asset.

Qualifications
Minimum 3 years of dental experience is an asset

Experience with Curve Dental is an asset
