Job Description
Job Overview
Minneapolis Dentistry Company is seeking a friendly, organized Dental Care Coordinator to help patients feel welcomed, understand their treatment next steps, and navigate scheduling, insurance, and payment questions.
This is a hands-on role in a small, growing dental practice. You will work closely with the doctor and clinical team to keep patient communication clear, appointments coordinated, and financial information accurate.
We are looking for someone who follows through, asks questions when something is unclear, and takes pride in helping patients and teammates.
Responsibilities
Welcome patients and manage check-in, checkout, and new-patient registration.
Answer calls, schedule appointments, confirm visits, and help fill schedule openings.
Coordinate treatment appointments based on the doctor’s recommendations.
Follow up with patients who have unscheduled or incomplete treatment.
Verify dental insurance eligibility and benefits, including deductibles, annual maximums, remaining benefits, coverage percentages, frequency limitations, and relevant service history.
Document insurance findings and identify missing information before appointments.
Prepare estimated patient financial responsibility using approved office procedures and explain that insurance estimates are not guarantees of payment.
Explain balances, deposits, payment options, and office financial policies clearly and respectfully.
Process cash, credit-card payments, and telephone payments using approved systems.
Post insurance-check payments accurately according to training and office procedures.
Maintain accurate patient communication notes, scheduling records, and financial documentation in Open Dental.
Escalate clinical questions, disputed balances, refunds, adjustments, and unfamiliar situations to the appropriate team member.
Participate in team huddles and help improve front-office workflows.
Protect patient privacy and follow office policies for confidential and payment information.
Qualifications
Previous dental front-office experience required.
Hands-on dental insurance-verification experience strongly preferred.
Experience with treatment scheduling, patient financial communication, and payment collection preferred.
Open Dental experience preferred; experience with other dental software is welcome.
Strong phone skills, attention to detail, organization, and follow-through.
Ability to communicate warmly while discussing treatment costs and financial responsibilities.
Willingness to follow established procedures, accept feedback, and clarify unfamiliar information before acting.
Comfortable balancing patient-facing responsibilities with administrative tasks.
Bilingual skills are a plus.
This position includes reception duties, but it is not a receptionist-only role. We are seeking someone who can develop ownership of insurance preparation, treatment follow-up, scheduling, and accurate patient financial workflows.
Pay: $21.00 - $25.00 per hour
Benefits:
Dental insurance
Paid time off
Work Location: In person
