Our dental department provides essential basic dental services to our established primary care patients. We are preparing for an exciting phase of growth, including a facility expansion project and the broadening of our dental services. We are looking for a skilled Dental Department Coordinator to help lead our team through this dynamic time and grow with our clinic.

Position Overview
The Dental Department Coordinator plays a critical dual role: delivering hands-on front-desk patient care while providing operational leadership across our administrative and clinical teams.

This position works directly on the floor as a Dental Receptionist for three 12-hour shifts per week, alongside scheduled administrative hours outside of patient care shifts to equal 40 hours per week. Working in close partnership with the Practice Administrator and collaborating closely with our Chart Audit & Compliance Team, you will ensure regulatory alignment, streamline clinic operations, support staff, and deliver exceptional patient experiences.

Work Schedule
Shift Structure: Three 12-hour operational shifts + scheduled administrative time (40 hours total/week)
Clinic Operating Hours:
Sunday – Thursday: 8:00 AM – 8:00 PM
Friday: 8:00 AM – 2:00 PM
Saturday: Closed
Weekend Requirement: Must be available to work two Sundays per month.

Key Responsibilities
Operational Leadership & Compliance Support
Oversee and support day-to-day workflow for both front-desk reception staff and clinical support staff.

Partner closely with the Practice Administrator on clinic policy implementation, staff training, and workflow optimization.

Work closely with the Chart Audit & Compliance Team to ensure dental records, documentation, and billing protocols meet quality standards and regulatory compliance
Assist in resolving chart documentation discrepancies and implementing corrective action plans when needed.

Serve as a primary point of contact for patient escalation, complex scheduling issues, and inter-departmental communication.

Support preparation efforts for upcoming facility expansion and service growth.

Front Desk & Patient Care (12-Hour Shifts)
Greet patients, check in/out, register new patients, and verify demographic and insurance details.

Schedule dental appointments efficiently to maximize provider utilization.

Handle incoming calls, collect co-pays/patient balances, and manage patient records in compliance with clinic guidelines.

Maintain a welcoming, efficient front-desk environment.

Qualifications
Experience: Minimum 3 years in a dental office or medical clinic setting required; prior front-desk or clinical coordination experience strongly preferred.

Compliance Knowledge: Familiarity with chart auditing, dental documentation standards, and HIPAA regulatory compliance.

Leadership Skills: Proven ability to guide, mentor, and support clinical and administrative staff.

Software Proficiency: Experience with Dental Practice Management Software (e.g., Dentrix, Eaglesoft, Open Dental) and Electronic Health Records (EHR) required.

Skills: Strong organizational skills, clear communication, high attention to detail, and the ability to multitask in a busy clinical environment.
