ScarboroSmiles is a growing multi-provider dental practice in Scarborough, ON, and we're building something special. We're looking for a friendly, organized, and patient-focused Dental Front Desk Administrator to join our growing team.
This role is ideal for someone who enjoys creating a welcoming patient experience, staying organized in a busy clinical environment, and helping the practice run smoothly from the first phone call to the final checkout.
This isn't a routine role. You'll be one of the first and last points of contact for our patients, so professionalism, warmth, and attention to detail are essential.
Key Responsibilities
Patient Communication & Experience
Greet patients warmly and professionally in person and over the phone.
Answer phone calls, emails, and patient inquiries in a timely and friendly manner.
Provide clear information about appointments, treatment coordination, and clinic processes.
Support a smooth patient journey from first contact to checkout.
Help maintain a welcoming, calm, and organized front desk environment.
Scheduling & Appointment Management
Book, confirm, and manage patient appointments.
Maintain a productive and efficient daily schedule.
Fill short-notice cancellations using the clinic’s waitlist and follow-up systems.
Help reduce no-shows and late cancellations through strong confirmation and communication processes.
Coordinate with clinical team members to keep the day running smoothly.
Administrative Duties
Update and maintain accurate patient records.
Process payments and support billing-related tasks.
Assist with insurance coordination, estimates, and patient account questions.
Scan, file, and manage documents as needed.
Follow clinic SOPs and administrative systems consistently.
Team Support
Communicate clearly with dentists, hygienists, assistants, and management.
Support patient handoffs between front and back office.
Participate in team meetings, training, and process improvements.
Help uphold ScarboroSmiles’ standards for professionalism, organization, and patient care.

What We’re Looking For:
Previous dental front desk experience.
Experience with dental practice management software.
Knowledge of dental insurance, billing, and treatment coordination is an asset.
Strong verbal and written communication skills.
Comfortable using computers, email, phone systems, and office software.
Ability to maintain confidentiality and professionalism at all times.
