About Us
Toothworks Bay Adelaide is a high-volume, modern dental clinic located in the heart of Toronto's financial district. As part of the Toothworks (Dentalcorp) network, we operate a busy 8-operatory practice serving a professional downtown clientele - and we hold ourselves to an exceptional standard of care and patient experience.
We're looking for a polished, experienced dental administrator who can keep pace with a fast-moving clinic, represent our team with confidence, and flex when the team needs it most.
The Role
This is a front-line role that combines reception, treatment coordination, and patient communication. You'll be the face and voice of our clinic - the person who sets the tone the moment a patient walks in or calls. We need someone who thrives under pressure, takes initiative, and brings a "whatever it takes" attitude to every shift.
Given our presence across multiple downtown Toronto locations, you'll also be expected to provide occasional coverage at nearby Toothworks clinics. Flexibility and a team-first mindset are essential.
Key Responsibilities
Welcome patients and manage all front desk operations in a busy 8-operatory environment.
Schedule appointments, manage confirmations, and handle a high volume of multi-line phone inquiries.
Verify, submit, and follow up on insurance claims accurately and promptly.
Present and explain treatment plans to patients, including Invisalign, periodontal, and orthodontic treatments.
Manage collections and support the achievement of clinic operational goals.
Use Abeldent software to maintain patient records, treatment plans, and scheduling.
Coordinate treatment planning alongside our Periodontist and Orthodontist.
Provide occasional coverage at other downtown Toothworks locations as needed.
Support the clinical team with day-to-day workflow and operational needs.
What We're Looking For
Previous dental office experience is mandatory.
Proficiency with Abeldent dental software strongly preferred; experience with any dental practice management software is an asset.
Proven ability to work efficiently in a high-volume, multi-operatory practice.
Comfortable operating a multi-line phone system in a fast-paced environment.
Flexible availability - must be available for one evening shift per week and occasional coverage at sister locations.
Strong independent work ethic with the ability to collaborate seamlessly as part of a larger team.
Naturally puts people at ease - warm, professional, and composed under pressure.
Positive, dependable, and able to bring focus and energy to every shift.
