Job Description

We're hiring our Front Desk Coordinator now, so you can train and integrate with us at one of our existing Louisville offices and walk into the new Jeffersontown practice on day one already knowing the team, the systems, and the way we do things.
About the role
The Front Desk Coordinator is the "first impression" of Advanced Dental Center — the warm voice on the phone, the welcoming face at the door, and the liaison between patients and our back-office team. You'll handle the scheduling, insurance verification, treatment-plan conversations, and payment workflows that turn first-time visits into lifelong patients. This position reports to the Office Manager.
A day at the front desk
Warmly greet and build rapport with patients as they arrive
Promptly respond to phone calls, voicemails, texts, and emails
Check patients in and out for scheduled appointments
Verify upcoming appointments by phone, text, and email
Sweep the schedule daily — surface conversions, unconfirmed visits, outstanding balances, and signed treatment plans that need follow-up
Build the schedule with proactive outreach — phone, text, and email
Maintain and update patient profiles in Open Dental
Walk patients through their treatment plans, estimated insurance coverage, and warranty options
Verify dental insurance benefits and collect copays before appointments
Present theDental Saver Discount Plan to uninsured patients
Pull end-of-day reports
Ensure required documentation is on file prior to every appointment
Keep reception and front-desk areas clean and welcoming
What you bring
High school diploma or equivalent (required)
Previous dental front-office experience strongly preferred
Excellent verbal and written communication
Comfort multitasking in a fast-paced environment
Strong computer skills — Open Dental experience a plus
HIPAA awareness and a commitment to patient confidentiality
Organized, self-directed, and genuinely team-oriented
A warm, patient-first attitude — the kind of person who remembers names
Able to sit for extended periods in a typical office environment
