We are looking for a service-oriented, highly organized, professional and positive Front Office Coordinator who enjoys building relationships and creating an outstanding experience for every patient. As a front office coordintator in our office, you will become one of the leaders of our patient experience and play an important role in day to day operations and the continued growth of our practice.
What You’ll Do
As our Front Office Coordinator, you’ll oversee the daily flow of the front office while ensuring every patient receives exceptional service.
Patient Experience
Welcome every patient with warmth and professionalism
Build long-term relationships with patients through excellent customer service
Answer phones, texts, and emails promptly and professionally
Schedule new and existing patients efficiently
Manage same-day treatment opportunities
Fill cancellations and maximize the schedule
Confirm appointments and reduce no-shows
Check patients in and out
Ensure patients leave understanding their next treatment steps
Perform patient treatment follow-up calls
Creating VIP experiences for new patients and returning patients
Manage new patient onboarding and paperwork completion
Treatment Coordination & Financial
Present treatment plans confidently when needed
Discuss financial arrangements and payment options
Help patients understand insurance benefits with the help of our Insurance Coordinator
Increase treatment acceptance through excellent communication
Coordinate specialty referrals
Follow up on unscheduled treatment
Track outstanding treatment plans
Collect patient balances
Process payments and financing applications
Reconcile daily collections & payments
Maintain accurate financial records
Scheduling & Office Flow
Manage provider schedules for maximum productivity
Balance hygiene and doctor schedules
Monitor schedule gaps and last minute cancellations, and proactively fill openings
Monitoring unscheduled treatment reports
Coordinate lab cases and delivery appointments as needed
Ensure all appointments are properly scheduled before patients arrive
Work through recall and overdue patient management
Assist with reactivation of inactive patients
Reviewing the next day’s schedule for completeness
Administrative Duties
Manage the Opening and Closing of the front office
Maintain accurate patient records
Scan and upload documents
Review incoming referrals
Verify patient information
Manage incoming mail and office correspondence
Order front office supplies
Keep the reception area clean, organized, and welcoming
Assist with office projects as needed
Maintaining HIPAA compliance
Marketing & Practice Growth
Encourage online reviews
Track new patient referrals
Assist with practice promotions and events
Help create an exceptional first impression that encourages word-of-mouth referrals

Preferred Qualifications
1-2+ years of dental front office experience preferred
Experience presenting treatment plans
Knowledge of dental insurance
Dental terminology knowledge
Strong computer skills
Experience with Dentrix Ascend (preferred but not required)
Experience with patient financing (CareCredit, Cherry, etc.)
Excellent phone etiquette
Strong written and verbal communication skills
