Job Description
About Gleam Dental Care
Gleam Dental Care grew out of Atlantic Dentistry, where Dr. Sebastien Murphy spent more than 10 years earning the trust of Jacksonville families. Now we are opening brand-new offices in Southside and Fleming Island, and we are building the team that will open them with us. That means ground-floor roles and real room to grow, not just a job.
We treat care as an act of service. Not a transaction, not a step in a workflow, and not something that gets squeezed when the day runs long. How we treat each other is how we treat our patients.
About the Role
Our front desk team is not support staff. You are the first ten minutes of every visit. The warm voice on the phone. The greeting by name. The reason someone anxious about the dentist walks in and exhales.
You also keep the practice running: preparing each patient’s visit ahead of time, making sure insurance and financials are clear before anyone sits in the chair, and closing every visit with a receipt and a clear next step. At Gleam, the human touch comes first. Technology supports the visit; people create the experience.
Schedule
This is a full-time position, generally scheduled for approximately 38–40 hours per week. Specific schedules will be determined based on practice operating hours and patient needs. Flexibility to work designated extended hours or adjusted schedules may be required.
Start Date
December 21, 2026 (tentative)
What You’ll Own
A prepared team. Prepare every scheduled patient two business days ahead: review the chart, confirm the appointment, verify insurance and benefits, review balances and estimates, confirm signed treatment plans and forms, and check that lab cases are in the office.
A warm welcome. Greet every patient by name, check them in, update their information, collect estimated portions, and let them know what to expect today, including when there is a wait and why.
A full, healthy schedule. Answer and return calls promptly, schedule and confirm appointments, personally call unconfirmed patients, and work cancellations, recall, and open time so the day stays full.
A clean checkout. Complete the checkout sequence accurately: confirm procedures and providers, create claims, collect balances or document arrangements, schedule the next visit, and give every patient a receipt.
Problems resolved, not just noticed. When you see an insurance issue, missing form, or financial concern, you resolve it, escalate it, or clearly document it. Never just notice it.
Privacy and accuracy. Keep patient information secure under HIPAA and document every interaction in Open Dental.
Our Values
We hire for values first. Four standards, every role, every location, every day:
Own It. We measure ownership in outcomes, not effort. If you can fix it, fix it. You own your part of a miss out loud and early, and you never pile on when a teammate owns theirs.
In this role: if you can fix a patient’s problem at the desk, you fix it. You do not need permission to do the right thing.
Be Relentless. We refuse ceilings somebody else set. Before you accept an explanation, you pull the data. You work ahead of the problem, flag what you see coming, and build the system so the next person does not hit it either.
In this role: you prepare tomorrow’s schedule today so nothing surprises the patient or the team when they walk in.
Win Together. The practice wins when the team wins. You step in before you are asked, take conflict to the person and never around them, say people’s names when credit is handed out, and celebrate specifically.
In this role: you notice when the clinical team is behind and step in before you are asked.
Stay Humble. You can be wrong without it costing you anything, which makes you fast. You ask for the feedback that stings, update quickly when shown a better way, and can name what you are better at than six months ago.
In this role: you welcome coaching on calls and check-ins, and you adopt a better way quickly.
What You Bring
Required
1+ year of experience in a customer-facing role, such as a medical or dental office, hospitality, or customer service.
A warm, calm phone and in-person presence, including with anxious or upset patients.
Strong attention to detail with scheduling, payments, and documentation.
Comfort learning new software quickly and handling multiple tasks at a busy front desk.
Reliable, punctual, and ready to work as part of a close team.
Preferred
Dental front office experience, including insurance verification, claims, and patient collections.
Experience with Open Dental or another dental practice management system.
Your First 90 Days
You know every team member by name and can run check-in, scheduling, and checkout on your own.
You prepare every patient two business days ahead, and your Patient Journey Worksheets are complete and initialed.
You can verify insurance and explain a patient’s estimated portion with confidence.
Patients and teammates can tell you something you did that made their day easier.
Career Path & Growth
Gleam is opening new practices across Northeast Florida, and we promote based on performance, not tenure. A strong Front Desk Coordinator can grow into Treatment Coordinator, front office lead, or practice management roles. We will teach you the dental side if you bring the service heart.
