Job Description

Do you have dental experience and want a positive change where time spent with patients is valued? We are a single-doctor, fee-for-service general dental practice offering a highly individualized, concierge-level patient experience. Our patients choose us because they value personal attention, calm communication, and care that is never rushed.

This role is the face and voice of the practice—the first person patients speak to on the phone and the first person they meet when they walk through our doors. The ideal candidate will be responsible for managing patient scheduling, coordinating appointments, and ensuring smooth communication between patients and clinical staff. This position requires attention to detail, confidence, teamwork, and a genuine enjoyment of caring for people who need reassurance.

This role requires excellent administrative skills, familiarity with Dentrix, a strong understanding of dental terminology and office procedures. The Dental Appointment Coordinator plays a vital role in maintaining efficient clinic operations and delivering exceptional patient service.

Job Overview
Schedule and confirm patient appointments using Dentrix and Weave
Communicate clearly, warmly, and confidently with patients at all times
Discuss treatment fees confidently and financial expectations professionally and with ease with competency with ADA codes
Maintain a full and balanced schedule where all appointment times filled before finishing for the day
Actively manage a quick call list daily
Manage patient records, ensuring accurate documentation review and data entry
Handle phone calls with professional phone etiquette, multi-line phone systems, and front desk support
Assist patients with intake procedures, including medical history updates and documentation review
Competency in discussing dental treatment
Facilitate communication between patients and clinical staff regarding care plans and treatment schedules
Coordinate closely with the clinical team to ensure seamless, unhurried delivery of care
Share relevant patient insights with the team to support continuity and excellence
Ensure compliance with HIPAA regulations to protect patient confidentiality and health information management standards
Perform clerical duties such as filing, data entry (including 10 key typing), and managing dental records
Support the dentist with dental operations and administrative duties
Who Thrives Here
This role is ideal for someone who:
Eagerly wants to be a part of a strong supportive team
Naturally provides high-touch, concierge-level service
Passionate about attention to details
Enjoys caring for patients who need extra reassurance, explanation, and support
Remains calm, gracious, and professional—even when patients are anxious or overwhelmed
Takes pride in exceeding expectations, not simply completing tasks
Views patient service as an essential and rewarding part of healthcare
Does not complain about patients, but instead looks for ways to elevate their experience
This role requires a high level of ownership and flexibility. This posiiton focuses on ensuring the day is completed thoughtfully and smoothly rather than watching the clock. At times, this may include arriving early, adjusting lunch breaks, or staying briefly in the evening to ensure patients, schedules, and communication are fully supported before the day concludes.

We value balance and mutual respect, and this flexibility is reciprocated through a supportive team environment and compensation aligned with responsibility and performance.
