Job Description

We have an exciting opportunity to as part of our Front Desk Team, a Dental Receptionist + Patient Coordinator! We are seeking to hire a “people person” with stellar oral and written communication skills, strong attention to detail and is a true team player. Candidates must have front desk dental office experience; dental insurance knowledge is strongly preferred.

Our 2-doctor, 2-hygienist practice is a pillar in the community and is extremely fast-paced and committed to impeccable patient care. This is a rare opportunity to join a successful, cutting-edge, autonomous, and growing practice. The average length of employment for our staff is over 10 years! We are looking for someone LONG-TERM to grow with the practice.

Position Summary
The Front Desk Receptionist is a key member of the administrative team and often the first and last point of contact for our patients. This position is responsible for providing an exceptional patient experience while supporting scheduling, communication, records, financial transactions, and the efficient daily operation of the practice.

Core ResponsibilitiesPatient Experience & Communication
Warmly greet, check in, and check out patients.

Answer phones, respond to messages, and manage patient communications promptly and professionally.

Assist patients with questions and appropriately route clinical, financial, or scheduling concerns.

Maintain a welcoming, organized, and professional front office environment.

Scheduling & Practice Flow
Schedule and confirm appointments according to established practice protocols.

Maintain an efficient doctor and hygiene schedule, including filling cancellations and openings.

Coordinate appointments with the clinical team and communicate schedule changes.

Monitor patient flow and help keep the practice running on time.

Patient Records & Administrative Support
Maintain accurate patient demographics, insurance information, forms, and records in Open Dental.

Process record and X-ray requests in accordance with HIPAA and practice policies.

Complete scanning, documentation, correspondence, and other administrative tasks.

Follow established systems, checklists, policies, and daily protocols.

Financial & Insurance Support
Collect patient payments and accurately post transactions.

Review basic treatment estimates and patient balances.

Assist with insurance information, eligibility, and administrative follow-up.

Escalate complex treatment, financial, or insurance matters to the appropriate team member.

Team & Practice Support
Communicate effectively with doctors, clinical staff, and fellow administrative team members.

Participate in team meetings, training, and cross-training.

Maintain patient confidentiality and comply with HIPAA, OSHA, and practice policies.

Assist with other administrative responsibilities necessary for efficient practice operations.

Qualifications
Exceptional interpersonal, communication, and customer-service skills.

Warm, professional, and hospitality-focused demeanor.

Strong attention to detail, organization, and follow-through.

Ability to multitask and remain composed in a fast-paced environment.

Strong computer and technology skills; Open Dental experience preferred.

Dental office experience strongly preferred.

Reliable, flexible, team-oriented, and willing to learn.

Additional Responsibilities
Responsibilities may evolve based on the needs of the practice. All team members are expected to support one another and contribute to an organized, efficient, and exceptional patient experience.

Our office schedule varies week to week. The office is open four weekdays with fluctuating hours. The work week is approximately 33-35 per week. There may be opportunities for additional hours. No weekends. The ideal candidate is open to following a flexible schedule. Job benefits include health insurance, 401K retirement plan access, paid vacation, family dental care, and more.
