Job Title: Dental Receptionist
Job Summary
We are seeking a professional, organized, and customer-focused Dental Receptionist to serve as the first point of contact for our patients. The ideal candidate will provide exceptional customer service while managing front office operations, scheduling appointments, coordinating insurance and billing processes, and supporting the clinical team to ensure a smooth and efficient patient experience.
Key Responsibilities
Welcome and greet patients in a friendly and professional manner upon arrival.
Schedule, reschedule, and confirm patient appointments via phone, email, and text.
Maintain accurate patient records and updating and verifying insurance information.
Assist patients with completing new patient intake forms and medical history documentation.
Prepare and send patient billing statements and process patient payments.
Submit dental insurance claims and follow up on claim status as needed.
Explain payment options and financial policies to patients.
Manage specialist referrals, including preparing referral documentation and coordinating communication with specialty offices.
Perform basic accounting duties, including balancing daily payments and maintaining accurate financial records.
Coordinate with the clinical team to support daily patient flow.
Ensure office equipment is functioning properly and report or coordinate repairs and maintenance when necessary.
Maintain patient confidentiality and comply with HIPAA and office policies.
Qualifications
High school diploma or equivalent required; additional administrative or dental office training preferred
Strong organizational, multitasking, and time management skills
Excellent verbal and written communication skills
Proficiency with dental practice management software and Microsoft Office-like applications.
Friendly, professional, and patient-centered approach to customer service.
Ability to handle confidential information with discretion.
Preferred Skills
Familiarity with dental terminology and procedures.
Knowledge of dental insurance verification, claims processing, and patient billing preferred
Experience coordinating referrals and insurance authorizations.
Ability to work effectively in a fast-paced environment.
Dependable, team-oriented, and proactive in problem-solving.
Previous experience in a dental or medical office is preferred.
Basic accounting and cash-handling experience preferred.
Work Environment
Fast-paced dental office environment.
Frequent interaction with patients, providers, and insurance representatives.
Primarily sedentary work with occasional standing, walking, and light lifting of office supplies.
