Job Summary
We are seeking a skilled front office receptionist to join our busy dental practice. Ideal candidates will have prior experience in a dental front office, with strong proficiency in coordinating dental insurance benefits for patients. We’re looking for someone who can quickly adapt and begin contributing with minimal training—aside from familiarizing themselves with our practice management software, Dentrix Ascend.
You will be part of a close-knit administrative team of five, including our Chief Operations Officer, Chief Finance Officer and two other front desk receptionists. Your role will involve managing the front desk alongside your colleagues, handling phone calls, scheduling appointments, checking patients in and out, building treatment plans for patients, etc.
Our private dental practice has now been established for 55 years and counting. We are looking for a friendly, kind, good spirited individual with great work ethic to join our team of 18 wonderful people. We are a medium sized group practice with 3 general dentists, 4 hygienists, 6 dental assistants, and our 5 administrative staff members. Our team is very close to each other and our practice focuses on creating a workspace where we can all thrive and grow together in a comfortable, caring environment. We look forward to meeting our new team member!
Pay will be based on experience level of candidate. We would prefer to hire somebody who can work full time. Our office is open Monday-Friday, but Friday is an early out day so we close at 12:30 so everybody can enjoy an extra long weekend!
Responsibilities
Greet patients warmly upon arrival, ensuring a friendly and professional first impression
Schedule appointments efficiently using dental practice management software, including EMR (Electronic Medical Records) system.
Verify patient insurance coverage and explain treatment plans, including dental insurance knowledge and documentation review
Collect payments and perform dental collection activities in compliance with HIPAA regulations
Manage patient records accurately within EHR (Electronic Health Records) system maintaining strict confidentiality
Answer multi-line phone systems with excellent phone etiquette, directing calls appropriately and managing appointment reminders
Support clinical staff by preparing patient route slips, updating medical records, and data entry tasks.
Dental coding processes to ensure accurate billing and compliance
Maintain a clean and organized front desk area while adhering to clinical confidentiality policies
Requirements
Having prior experience working in a dental clinic is essential for this role
Excellent customer service skills with the ability to handle phone communication professionally and courteously
Bilingual abilities are a plus to effectively serve diverse patient populations
Familiarity with insurance processes, dental terminology and health information management practices
Demonstrated clerical experience including filing, data entry, and office management tasks
Ability to maintain clinical confidentiality policies at all times while managing sensitive patient information
Strong organizational skills with attention to detail in dental records management and appointment scheduling
High school diploma or equivalent; additional certification in medical administration or front desk operations is advantageous
