Job Description

Dental Hygiene Scheduling Coordinator – Front Office
Tucson Dental Studio | Tucson, AZFull-Time | $17–$24/hour DOE + Growth Opportunity | M-F 7:45AM-5:00PM
Tucson Dental Studio is looking for an exceptional Hygiene Scheduling Coordinator to join our growing team.

This is not simply a receptionist position.

We are looking for someone who can take ownership of our hygiene schedule, build relationships with patients, keep our hygienists productive, and make sure patients do not fall through the cracks when it comes to their preventive care.

Our Mission: We believe exceptional dental care should be honest, compassionate, and accessible. Our mission is to improve lives by restoring trust in dentistry and helping every patient achieve lifelong oral health.

Our Vision: To make Tucson Dental Studio the standard for private practice dentistry, giving every patient a state-of-the-art experience, earning trust from the first call through a lifetime of health.

If you are interested in applying please text/call Dr. Cubra at (614) 526-4495 and leave a message. Indeed applications will only be reviewed if you contact the number above.

What You’ll Own
Your primary responsibility is the health of the hygiene schedule and recall system.

That includes:
Keeping the hygiene schedule consistently full and productive
Scheduling patients for their next cleaning or periodontal maintenance appointment before they leave
Identifying patients who are due or overdue for hygiene and helping them get scheduled
Following up with patients who have not scheduled their next hygiene appointment
Working short-call and cancellation lists to quickly fill openings
Confirming upcoming appointments and reducing last-minute cancellations and no-shows
Maintaining accurate recall information in Open Dental
Communicating with hygienists and the clinical team throughout the day
Participating in morning huddles and discussing upcoming openings or scheduling opportunities
Helping patients understand the importance of recommended preventive and periodontal care
Answering phones and assisting the front office when needed
Providing a warm, professional experience from the first phone call through the patient's visit
Most importantly, you will be expected to own the result, not simply complete a list of tasks.

If you are interested in applying please text/call Dr. Cubra at (614) 526-4495 and leave a message. Indeed applications will only be reviewed if you contact the number above.

How We Measure Success
We believe great employees deserve to know exactly what winning looks like.

Some of the numbers you will help us track include:
Hygiene reappointment percentage
Percentage of available hygiene time filled
Unfilled hygiene hours
Confirmation rate
Cancellation/no-show rate
Percentage of cancellations successfully refilled
Overdue recall/reactivation
Patients leaving without their next hygiene appointment
Completion of weekly follow-up and reactivation goals
You won't be expected to master everything on day one. We will train you on our systems, expectations, scripts, and workflows.

Who We’re Looking For
You may be a great fit if you are:
Dependable. You show up on time, prepared, and ready to contribute.

Extremely organized. You enjoy keeping track of details and don't like seeing things fall through the cracks.

Comfortable on the phone.A large part of this position involves communicating with patients. You should be comfortable making outbound calls—not just answering incoming ones.

Warm but confident. You can build relationships with patients while also confidently helping them make and keep appointments.

Competitive with yourself. You like having goals, knowing your numbers, and seeing improvement.

A problem solver. When there is an opening in tomorrow's schedule, your first reaction is, “How can I fix this?”
Team oriented. You understand that the front office, hygienists, assistants, and doctors all have to work together to create an exceptional patient experience.

Interested in growth. We want someone who wants this position to become a career, not simply their next job.

Experience
Dental experience is strongly preferred, particularly experience with:
Dental scheduling
Recall/reactivation
Dental terminology
Dental insurance
Patient communication
Open Dental or another dental practice-management system
Open Dental experience is a plus, but not required for the right person.

If you have significant customer-service, scheduling, hospitality, call-center, or healthcare experience and believe you would excel in this role, we still encourage you to apply.

A Real Career Path
One thing that makes this position different is that we have a tiered growth system.

Your compensation and responsibilities can grow as your skills grow.

An entry-level coordinator may begin by mastering our basic systems, patient communication, confirmations, scheduling, and recall.

As you progress, you'll be expected to:
Consistently hit department KPIs
Completely own the hygiene schedule
Solve scheduling problems independently
Become highly knowledgeable about dental treatment and insurance
Improve systems rather than simply follow them
Help train other team members
Lead portions of meetings
Eventually become a specialist, trainer, or leader within the organization
We want talented people to have somewhere to go.

What We Offer
$17–$25/hour depending on dental experience and demonstrated skill
Defined opportunities for raises and advancement through our tier system
Health insurance
Paid time off
Dental benefits
Training and continuing development
A growing practice with opportunities for future leadership
A team that values communication, accountability, growth, and taking exceptional care of patients
Tucson Dental Studio is growing, and our long-term goal is much bigger than one dental office. That means we are especially interested in people who want to grow with us and eventually take on greater responsibility.

To Apply
If you are interested in applying please text/call Dr. Cubra at (614) 526-4495 and leave a message. Indeed applications will only be reviewed if you contact the number above.

Please submit your resume along with a short response answering these three questions:
Why does this position interest you?

Tell us about a time you took ownership of a problem instead of waiting for someone else to solve it.

If you had three hygiene cancellations for tomorrow, what would you do?

We aren't looking for the perfect resume.

We're looking for someone who is dependable, driven, kind, organized, coachable, and excited to become exceptional at what they do.
