Duties
Greet visitors and clients warmly, providing excellent customer service while managing check-in procedures
Supervise front desk staff, assigning tasks and ensuring efficient workflow throughout the day
Operate multi-line phone systems with professionalism, directing calls accurately and courteously
Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
Maintain accurate records through data entry, filing, proofreading, and updating databases such as QuickBooks or other office management software
Oversee office supplies inventory, place orders as needed, and ensure the front desk area remains organized and welcoming
Support administrative tasks including typing correspondence, supporting bookkeeping activities, and assisting with clerical duties such as photocopying and faxing
Skills
Proven experience in office management or administrative roles with strong organizational skills
Excellent customer service skills with professional phone etiquette and interpersonal communication abilities
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry systems
Ability to handle multi-line phone systems efficiently while maintaining a friendly demeanor
Bilingual capabilities are highly desirable to serve diverse client needs effectively
Experience with QuickBooks or similar bookkeeping software is a plus for handling basic financial tasks
Strong time management skills with the ability to prioritize tasks in a fast-paced environment
Attention to detail for proofreading documents and maintaining accurate records
Previous experience as a dental or medical receptionist or personal assistant is advantageous for understanding specialized workflows
