Job Description
At Welly Dental Studio, we believe dentistry can feel calm, personal, and unrushed. We're a privately owned boutique practice built around one idea: a better dental experience. Delivering that every day takes a leader who keeps the team, the schedule, and the numbers running smoothly, which makes this one of the most important roles on our team.
We're looking for an Office Manager who is organized, steady, and people-first. This is a hands-on role in a small office: you'll run the front office yourself, lead daily operations, and work directly with the owners to build the systems that help a growing practice run well.
What you'll do
- Lead the team day to day and keep everyone aligned, supported, and accountable
- Run the morning huddle and set the tone for the day
- Own the schedule without being asked, so each day is full, balanced, and on time
- Confirm every patient the day before, and keep following up until you reach them
- Handle insurance verification, claims, and EOB review yourself
- Manage accounts receivable and follow up on outstanding balances
- Present treatment plans and financial options (Rooted membership, CareCredit, Cherry)
- Track practice KPIs and review them with the owners
- Write, refine, and uphold our SOPs, and hold the team to them
- Help hire, onboard, and train new team members
- Resolve patient concerns with warmth and good judgment
- Protect the Welly experience at every patient touchpoint
What you'll need
- At least 5 years of experience managing a dental office (required)
- A track record of leading a team and holding it accountable (required)
You may be a great fit if
- You hold yourself to a high standard and welcome feedback with an open mind
- You lead by example, set clear expectations, and hold people to them with kindness
- You have a hospitality mindset and patients feel at ease around you
- You think in systems and like making things run better
- You're comfortable with numbers and with money conversations
- You take ownership and follow through without being asked
- You stay calm and clear when the day gets busy
Nice to have
- Strong working knowledge of dental insurance and billing
- Experience with Oryx or another dental practice management system
- Experience hiring and training team members
- A background in hospitality or boutique wellness management
Why you'll love it here
- A four-day work week with every Monday off
- A modern, boutique studio designed to feel like hospitality, not a clinic
- A direct partnership with the owners and a real voice in how the practice grows
- The chance to build systems and a team, not just maintain them
- A small, supportive, low-drama team
- Flexible unpaid time off: no fixed cap on days, just advance notice and team coverage
- A one-time uniform allowance when you join
Schedule
- Four-day work week: Tuesday through Friday, with a three-day weekend every week
- Shift hours 8:00 AM to 6:00 PM, with a one-hour lunch
- Morning huddle at 8:40 AM
- Patient hours 9:00 AM to 5:00 PM
Job type
- Full-time, in person, Brandon, FL
Pay: $28.00 - $32.00 per hour
Expected hours: 36.0 per week
Application Question(s):
This role is on-site in Brandon, Tuesday to Friday, 8:00 AM to 6:00 PM. Can you commit to that schedule consistently?
Which of these do you do yourself today, hands-on: verifying dental insurance benefits, submitting claims, working denials and EOBs, running an A/R aging report and collecting on it, presenting treatment plans and financial options? Name the practice software you use.
This is a working manager role: you'd run the front desk yourself in a small office while leading the team. How many people did you manage in your last role, and what did you personally handle each day?
A patient's portion for a crown is $900 and they hesitate. What do you say, and how do you ask them to commit to a date?
Tell us about a time a team member kept getting something wrong. What did you do, and how did it end?
Tell us about a routine or system you started at a past office without being asked. What was the problem, what did you set up, and how did you keep it going?
It's 3:00 PM. Tomorrow's schedule has an open hour and two patients who haven't confirmed. Nobody has asked you to do anything. What exactly do you do before you leave?
You've been trying to reach a patient about scheduling their treatment for a week with no response. Walk us through exactly what you did to reach them, step by step, and what you do next.
