ATX Dental Studio is looking for a friendly, organized, dependable, and motivated full-time Dental Front Desk Patient Coordinator to join our growing team.
We are a boutique, privately owned dental practice focused on providing a personalized, high-quality patient experience. We value people, teamwork, professionalism, attention to detail, and creating an environment where both patients and team members feel comfortable and supported.
This position is much more than answering phones and checking patients in and out. Our front office plays an important role in the entire patient journey, from the first phone call through treatment completion. We are looking for someone who takes ownership, anticipates what needs to happen next, communicates confidently with patients, and helps keep the office running smoothly.
Key Responsibilities
Warmly welcome patients and provide an elevated experience from arrival through checkout
Answer and manage phone calls, texts, emails, and patient inquiries professionally
Schedule and confirm new patient, hygiene, restorative, cosmetic, Invisalign, and treatment appointments
Maintain productive doctor and hygiene schedules and proactively work to fill openings
Assist new patients with forms, insurance information, office expectations, and appointment preparation
Verify dental insurance eligibility and benefits and accurately enter benefit information
Understand common PPO benefits, including deductibles, annual maximums, frequencies, waiting periods, and estimated patient responsibility
Review treatment plans and confidently explain estimated insurance coverage and patient financial responsibility
Present treatment plans and financial options in a clear, comfortable, and professional manner
Help patients understand recommended treatment and encourage them to move forward with necessary care
Follow up with patients regarding unscheduled treatment and continuing care
Collect patient payments, treatment deposits, and outstanding balances
Accurately complete patient checkout, post payments, and maintain financial documentation
Submit and follow up on dental insurance claims, EOBs, denials, and outstanding claims when needed
Coordinate specialist referrals and necessary patient records
Maintain accurate patient charts, insurance information, financial notes, and communication documentation
Monitor recall and continuing-care lists and help maintain a productive hygiene schedule
Communicate closely with the dentist, hygienists, assistants, and management to keep the day running efficiently
Help maintain an organized, professional, and welcoming front-office environment
Identify and help correct scheduling, insurance, or patient-account issues before they negatively affect the patient experience
Our Ideal Candidate
Previous dental front-office or treatment coordinator experience strongly preferred
Comfortable with dental terminology and common dental procedures
Experience with dental insurance verification and claims
Understanding of PPO dental insurance benefits is strongly preferred
Experience presenting treatment plans and discussing financial arrangements
Comfortable discussing treatment costs and collecting payments
Strong scheduling, organizational, and multitasking skills
Excellent written and verbal communication
Friendly, personable, and confident when speaking with patients
Detail-oriented and able to catch and correct errors
Professional, reliable, punctual, and dependable
Proactive, solutions-oriented, and willing to take ownership of responsibilities
Comfortable learning and working within dental practice-management software
Able to provide exceptional hospitality while maintaining efficiency and accountability
Positive attitude and team-oriented mindset
Experience with Dentrix Ascend is a plus.
