Job Description

At Project HOME, every role contributes to our mission of empowering individuals to achieve stability, wellness, and self-determination. As a Dental Patient Services Representative, you'll help create a welcoming, organized, and supportive experience for patients receiving dental care.

In this role, you'll greet patients, coordinate appointments, verify insurance coverage, maintain accurate registration information, collect payments, and work closely with clinical and operational staff to ensure each visit runs smoothly. Location: Stephen Klein Wellness Center, 2144 Cecil B. Moore Avenue, Philadelphia, PA 19121

Schedule: Monday-Friday | 9:00 AM-5:00 PM

Compensation: $23.09/hour

What You'll Do

Support the Patient Experience

Welcome patients and visitors in person and by phone with professionalism and compassion.

Answer questions, route inquiries, and help patients complete required forms.

Maintain a clean, calm, and welcoming reception area.

Use trauma-informed practices in all patient and visitor interactions.

Coordinate Appointments & Registration

Schedule, confirm, register, and check in patients according to established guidelines.

Verify insurance eligibility and benefits before appointments whenever possible.

Update patient demographics, insurance information, and financial records accurately.

Reschedule appointments and address late arrivals while supporting efficient clinic flow.

Support Treatment & Payment Processes

Collect copayments and other patient balances according to insurance coverage and the sliding fee scale.

Process payments accurately and provide receipts.

Review treatment plans, insurance coverage, and anticipated patient costs following appointments.

Complete and follow up on prior authorizations and benefit limit exceptions when needed.

Collaborate & Provide Administrative Support

Coordinate warm handoffs to benefits, referrals, community health, hospitality, and other Project HOME services.

Communicate closely with clinical and operational staff to support smooth daily workflows.

Participate in daily huddles and assist with onboarding new team members as directed.

Support mail, deliveries, scanning, and other front desk administrative responsibilities.

What You'll Need

Education

High school diploma or GED.

Experience

At least three years of receptionist, scheduling, or patient services experience in a dental office.

Experience using a dental practice management or electronic dental record system.

Working knowledge of dental terminology.

Knowledge, Skills & Abilities

Strong customer service, telephone, and interpersonal skills.

Excellent written and verbal communication skills.

Proficiency with Microsoft Office.

Strong computer, organizational, and multitasking skills.

Ability to work independently and collaboratively as part of a healthcare team.

Ability to remain calm, professional, and solution-focused in stressful situations.

Strong problem-solving and conflict-resolution skills.

Ability to protect patient confidentiality and follow HIPAA requirements.

Knowledge of de-escalation techniques or willingness to complete training.

What You May Bring

While not required, the following qualifications may help you succeed in this role:

Experience using eClinicalWorks or another dental practice management system.

Experience working in a Federally Qualified Health Center.

Experience serving individuals with histories of homelessness, mental health challenges, substance use, or trauma.

Bilingual Spanish and English communication skills.

Experience supporting prior authorizations, insurance verification, or patient financial counseling.

Familiarity with sliding fee scale programs.
