Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist and Administrator to join our dynamic dental team. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. Your proactive approach will ensure smooth clinic operations, accurate documentation, and seamless patient experiences. Key Responsibilities
Greet patients warmly and create a welcoming environment.
Answer phone calls by handling multi-line phone systems with professionalism, practicing excellent phone etiquette while scheduling appointments or responding to patient inquiries.
Check patients in/out and schedule appointments using the advanced PMS (Practice Management System) which is Open Dental.
Manage patient intake processes by collecting, maintaining and updating accurate patient records and documentation ensuring HIPAA compliance at all times.
Verify insurance coverage, perform insurance eligibility checks, and handle insurance claims submissions and follow-ups for PPO insurances.
Handle payment collection and prepare daily reports.
Assist with medical billing and coding by applying CDT (Current Dental Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to ensure accurate documentation and reimbursement.
Support clinic operations by managing office supplies, filing documents, and performing clerical duties such as data entry using Microsoft Office tools like Word and Excel.
Collaborate with a Dentist to coordinate treatment plans, follow-up appointments, and patient education efforts.
Present treatment plans to patients with clear explanations on insurance coverage, copays, and financing options.
Build strong rapport to increase case acceptance and follow up with pending treatment.
Qualifications
- STRICTLY Required
At least 1 year of work experience in a Dental setting
Excellent customer-service skills combined with professional phone etiquette and effective communication abilities.
Positive attitude, reliability, and willingness to adopt new technology and knowledge.

Strong organizational abilities and attention to detail.
Comfortable discussing complex treatment plans and financials.
Experience with Open Dental Practice Management Software.
Understanding of HIPAA regulations and confidentiality standards in healthcare documentation review.
- Preferred
Proven experience in a healthcare setting, preferably in dental practices.
Bilingual skills (Spanish or Korean) are highly desirable to serve diverse patient populations effectively.
Familiarity with medical billing procedures including insurance verification, claims processing, and collections.
Proficiency in dental terminology along with CDT coding.
Strong computer skills including typing (10-key), Microsoft Office Suite.
