Job Description

Front Office Patient Care Coordinator
Skytree Family Dental | Monroe, WA
Are you friendly, compassionate, and exceptionally detail-oriented? Do you enjoy helping patients, solving problems, and learning new skills? We’re looking for a dependable Patient Care Coordinator with a strong work ethic, a high level of integrity, and a commitment to a team environment to help our patients feel welcome, informed, and cared for.

Our front office is a busy, demanding environment with frequent interruptions, competing priorities, and high-pressure situations. This position also involves detailed, sometimes repetitive tasks that require patience, focus, and consistent accuracy. The ideal candidate is extremely organized and can remain calm, communicate respectfully, and provide warm patient service during stressful moments.

What you’ll do
Welcome patients with a warm, personable approach, helping them feel comfortable and cared for while assisting with check-in, check-out, and questions.

Answer phone calls, respond to messages, and coordinate patient communication.

Schedule and confirm appointments while helping maintain an efficient schedule.

Verify dental insurance eligibility and benefits, accurately documenting coverage, limitations, and relevant policy details.

Explain estimated patient costs and insurance benefits clearly and compassionately.

Collect payments and maintain accurate patient records.

Work closely with the clinical team and office manager to support patient care and daily operations.

Build and maintain positive relationships with specialists, referring offices, and other professional partners, coordinating referrals and communication.

Maintain an exceptionally clean, tidy, and organized personal workspace, front office, and reception area, creating a welcoming environment for patients.

Handle sensitive patient information with discretion and confidentiality.

What we’re looking for
Three or more years of customer service experience, preferably in a busy, detail-oriented setting, with demonstrated professionalism, emotional maturity, sound judgment, and accountability.

Exceptional attention to detail and organization throughout the role, keeping records, tasks, and priorities in order and following through consistently.

A strong work ethic, with dependability, initiative, and a commitment to completing tasks accurately.

A high level of integrity, demonstrated through honesty, accountability, and discretion.

A commitment to a team environment, with clear communication, mutual respect, and a willingness to help wherever needed.

A friendly, personable manner and strong emotional intelligence, including empathy, self-awareness, and compassion for patients who may feel anxious or overwhelmed.

A positive attitude and growth mindset, with enthusiasm for learning and a constructive approach to challenges.

Effective problem-solving skills are a must, including sound judgment and follow-through.

Strong multitasking skills, with the ability to manage competing priorities and interruptions while staying organized and accurate.

A willingness to ask questions and seek help when needed, with humility, openness to feedback, and a commitment to getting things right.

Confidence using computers and learning new systems.

Experience and training
Dental front office and insurance verification experience are preferred. Familiarity with dental terminology is highly valued, and Open Dental experience is a plus.

We are willing to train the right candidate! If you bring strong customer service experience, attention to detail, a caring approach, and a willingness to learn, we encourage you to apply—even if you are new to dentistry.
