Job Description
At Welly Dental Studio, we believe dentistry can feel calm, personal, and unrushed. We're a privately owned boutique practice built around one idea: a better dental experience. That experience begins the moment someone calls or walks through our door, which makes this one of the most important roles on our team.
We're looking for a Treatment and Experience Coordinator who is warm, polished, and detail-minded, and who is as comfortable welcoming a nervous new patient as walking someone through their financial options. This role covers everything our front desk does, with an added focus: you'll own treatment presentation, insurance, and the financial side of each patient's care.
What you'll do
At the front desk
- Welcome every guest by name and set a calm, gracious tone
- Answer calls and messages and book reservations with confidence
- Confirm upcoming visits and make sure digital forms are complete beforehand
- Check patients in and out and collect payment at time of service
- Keep our reception space beautiful, stocked, and guest-ready
- Prepare for our morning huddle so the day runs on time
Your treatment and financial focus
- Present treatment plans clearly, so patients understand the why and never feel sold to
- Walk patients through costs, insurance coverage, and payment options
- Share our membership plan and financing options (CareCredit, Cherry)
- Verify insurance eligibility and benefits before each visit
- Submit claims, review EOBs for accuracy, and resolve discrepancies
- Follow up on outstanding balances
- Schedule treatment so accepted care gets on the books and the day stays balanced
- Keep hygiene recare current and reach out to patients who are overdue
What you'll need
- Dental front office experience, including presenting treatment and verifying insurance (required)
You may be a great fit if
- You hold yourself to a high standard and welcome feedback with an open mind
- You have a hospitality mindset and people feel at ease around you
- You're organized and steady when the day gets busy
- You take initiative and think of the patient first
- You're comfortable with money conversations
- You learn new software quickly (we'll train you)
Nice to have
- Experience with Oryx or another dental practice management system
- A background in hospitality, concierge, or boutique wellness
Why you'll love it here
- A four-day work week with every Monday off
- A modern, boutique studio designed to feel like hospitality, not a clinic
- A small, supportive team where your ideas shape how we grow
- Unrushed scheduling that lets you give patients real attention
- Direct access to the owners and room to grow with the practice
- Flexible unpaid time off: no fixed cap on days, just advance notice and team coverage
- A one-time uniform allowance when you join
Schedule
- Four-day work week: Tuesday through Friday, with a three-day weekend every week
- Shift hours 8:00 AM to 6:00 PM, with a one-hour lunch
- Morning huddle at 8:40 AM
- Patient hours 9:00 AM to 5:00 PM
Pay and job type
- Pay: $24 to $27 per hour, based on experience
- Job type: Full-time, in person, Brandon, FL
Pay: $24.00 - $27.00 per hour
Expected hours: 36.0 per week
Application Question(s):
