Job Description

Patient Care & Treatment Coordinator – Dental Implant Studio
Compensation: Starting at $18.00 per hour, negotiable based on experience, qualifications, and demonstrated abilities.

Position Type: Full-Time, Part-Time
Help Us Build Something Exceptional
New, state-of-the-art dental implant practice in Las Vegas specializing in advanced dental implant procedures, All-on-X full-arch rehabilitation, and comprehensive smile reconstruction.

We are looking for an exceptional Patient Care & Treatment Coordinator who is passionate about patient relationships, motivated by professional growth, and excited to help build a premier dental implant practice from the ground up.

This is not a traditional dental receptionist position.

We are seeking a highly organized, personable, confident, and results-driven professional who can take ownership of the patient journey—from the first phone call to the final smile.

The ideal candidate understands that patients considering dental implants and full-mouth rehabilitation are often making life-changing decisions. They may have experienced years of dental problems, frustration, anxiety, or uncertainty.

Our goal is to create a welcoming, compassionate, and educational experience that helps patients feel understood, confident, and empowered to move forward with their treatment.

We are looking for someone who combines exceptional customer service with strong organizational skills, treatment coordination experience, and a genuine desire to contribute to the growth and success of the practice.

Key Responsibilities
Patient Experience & Relationship Management
Serve as the first point of contact for new and existing patients, providing a professional, welcoming, and exceptional experience.

Build meaningful patient relationships through empathy, active listening, and personalized communication.

Guide patients through their journey from initial inquiry and consultation to treatment completion.

Address patient questions, concerns, and financial considerations with professionalism and compassion.

Coordinate patient appointments, treatment timelines, postoperative visits, and follow-up care.

Maintain clear, timely, and professional communication throughout the patient experience.

Create an environment where patients feel valued, informed, and confident in their care.

Treatment Coordination & Case Acceptance
Work closely with the doctor and clinical team to coordinate comprehensive implant and full-mouth rehabilitation treatment plans.

Confidently present treatment recommendations, financial arrangements, and available payment options after the doctor has established the clinical treatment plan.

Explain treatment timelines, expected appointments, and the patient experience in a clear and understandable manner.

Assist patients in understanding the value of comprehensive treatment and overcoming financial or logistical barriers.

Coordinate third-party financing applications, payment arrangements, and treatment scheduling.

Follow up consistently with patients who have received treatment recommendations but have not yet scheduled.

Track treatment acceptance rates, outstanding treatment opportunities, and patient follow-up activities.

Help patients move forward with care through education, trust, and clear communication rather than high-pressure sales tactics.

New Patient Acquisition & Practice Growth
Manage incoming patient inquiries from phone calls, website submissions, online advertising, referrals, and other lead sources.

Respond promptly and professionally to prospective patient inquiries.

Convert qualified patient inquiries into scheduled consultations.

Maintain consistent follow-up with prospective patients who have not yet scheduled.

Utilize customer relationship management (CRM) software to track patient communication, lead status, appointments, and treatment opportunities.

Collaborate with the doctor and marketing partners to improve patient acquisition and lead conversion.

Track key practice performance indicators, including consultation bookings, appointment attendance, treatment acceptance, and patient engagement.

Identify opportunities to improve marketing follow-up, patient communication, and overall practice growth.

Front Office Management & Administrative Operations
Manage daily front office operations, including scheduling, patient registration, communication, payment collection, and administrative coordination.

Maintain accurate patient information, financial records, consent documentation, and appointment records.

Verify insurance benefits and communicate available out-of-network benefits when applicable.

Explain treatment fees, financial policies, third-party financing, and payment arrangements.

Coordinate patient referrals and communication with referring dental offices.

Maintain efficient scheduling protocols that support clinical productivity and an excellent patient experience.

Develop, maintain, and improve front office systems and standard operating procedures.

Protect patient privacy and maintain compliance with HIPAA and applicable regulations.

CRM, Technology & Digital Workflows
Our practice will utilize modern technology and integrated communication systems to streamline patient acquisition, treatment coordination, and follow-up.

Responsibilities include:
Managing patient inquiries and communication through CRM systems.

Utilizing automated workflows for appointment reminders, lead follow-up, and patient engagement.

Monitoring scheduling, patient communication, and treatment conversion pipelines.

Keeping patient information and lead status accurate and up to date.

Identifying opportunities to improve efficiency through automation and technology.

Coordinating communication between the front office, clinical team, and marketing systems.

Experience with GoHighLevel CRM, Open Dental practice management software, or other customer relationship management platforms is highly desirable.

Leadership, Office Culture & Team Development
Help establish a welcoming, positive, and high-performing office culture.

Take initiative in identifying challenges and implementing solutions.

Work collaboratively with the doctor and clinical team to improve daily operations and communication.

Demonstrate professionalism, accountability, integrity, and a commitment to continuous improvement.

Contribute ideas that improve patient satisfaction, practice efficiency, and long-term growth.

Help create an environment where patients and team members feel respected, supported, and appreciated.

Qualifications
Required
Previous experience in a dental front office, patient coordination, treatment coordination, or a comparable patient-facing position.

Excellent verbal communication, interpersonal, and relationship-building skills.

Strong organizational skills and the ability to manage multiple responsibilities.

Confidence discussing treatment fees, payment arrangements, and financial options.

Experience with scheduling, patient communication, and administrative workflows.

Ability to work independently, take initiative, and solve problems.

Professional appearance, positive attitude, and a strong commitment to patient service.

Comfortable working with technology and learning new software systems.

A genuine passion for helping patients and contributing to a successful team.

Highly Preferred
Experience as a dental treatment coordinator or office manager.

Experience in dental implants, All-on-X, cosmetic dentistry, or full-mouth rehabilitation.

Experience presenting comprehensive treatment plans and coordinating high-value dental cases.

Proven success improving treatment acceptance and patient follow-up.

Familiarity with third-party patient financing programs.

Experience managing new patient leads and consultation scheduling.

Knowledge of dental insurance verification and out-of-network benefits.

Experience with CRM platforms, including GoHighLevel.

Prior involvement in dental practice growth, marketing, or patient acquisition.
