Job Description
New York Dental Group & Implant Center is seeking a compassionate, organized, and motivated Treatment Coordinator to bridge the gap between our dental team and patients. This includes managing consultations, explaining treatment plans, coordinating appointments, organizing collaborative care across various providers, and navigating insurance and financial options to advocate for our patients and ensure successful completion of their treatment needs.
This is an excellent opportunity for someone who finds joy in helping others, as you can help many patients achieve life-changing dental outcomes through exceptional service.
As a Treatment Coordinator, you will be our patient's vital guide through their treatment journey. By empowering them with their treatment options, demystifying their insurance benefits, and accommodating their financial arrangements you can help create the path to their smile.
Key Responsibilities
Review treatment plans and explain the medical value and cost of procedures (such as implants, crowns, or dentures) to patients.
Read & explain accounts to patients, calculate out-of-pocket costs, collect payments, set up third-party financing or payment schedules, & submit insurances / insurance questions to our insurance team before communicating the outcome to the patient.
Answer patient questions, address cost or procedure objections with empathy, and build trust to reduce dental anxiety.
Book multi-phase appointments, coordinate referrals, follow up with patients who leave without scheduling, and track the status of various treatment cases to ensure the completion of patient care.
Maintain Electronic Health Records (EHRs) and assist your team members with operating the administrative office.
Maintain up to date scheduling guidelines for your assigned doctor to ensure procedures run smoothly as possible.
Coordinate & contact patients to ensure your doctor's schedule is thoroughly booked & compliant with scheduling guidelines.
Check the coverage amount & validity of pre-authorizations for scheduled procedures to ensure copays & coverage amounts are accurate for patients.
Contact patients for their insurances, forms, balance collections, and to confirm each appointment on your assigned doctor's schedule to give patients clear communication and advisement at each step.
Preferred Qualifications
Prior experience in a dental office or healthcare setting is highly preferred, especially with scheduling experience, front desk responsibilities, and/or call center experience.
Demonstrated proficiency in EMR/EHR systems such as Epic, OpenDental, and Eaglesoft.
Strong knowledge of dental terminology, charting, and procedures.
Excellent computer skills including Microsoft Office Suite (Word, Excel), Google Office Suite, and 10-key typing for accurate data entry.
Bilingual abilities are a plus to effectively communicate with diverse patient populations.
Experience with dental insurances, billing processes, and accounts is advantageous.
Exceptional customer service skills combined with phone etiquette and clerical experience to ensure positive patient interactions.
Understanding of HIPAA privacy policies and clinical confidentiality standards to safeguard patient information.
