Job Description
Experienced Dental Front Desk / Patient Coordinator
We are looking for an experienced, motivated Dental Front Desk / Patient Coordinator who understands that the front office is the heartbeat of a successful dental practice.
This is not an entry-level position. We are looking for someone who already understands dental office operations, takes ownership of their responsibilities, communicates confidently with patients, and thrives in a busy, team-oriented environment.
The ideal candidate is organized, dependable, positive, detail-oriented, and comfortable managing multiple priorities without losing sight of the patient experience. You should enjoy helping patients, keeping the schedule productive, solving problems, and contributing to the success of the entire practice.
Responsibilities
Provide an exceptional experience from the patient's first phone call through checkout
Answer phones professionally and convert new patient inquiries into scheduled appointments
Schedule patients efficiently while maintaining a productive doctor and hygiene schedule
Confirm appointments and proactively manage cancellations, no-shows, and schedule openings
Verify dental insurance eligibility and benefits
Understand PPO dental insurance, fee schedules, deductibles, annual maximums, frequencies, and limitations
Accurately communicate estimated patient portions and financial responsibilities
Collect copays, deductibles, outstanding balances, and other patient payments
Maintain accurate patient information, insurance information, and documentation
Coordinate new patient appointments, emergency visits, hygiene recall, and continuing care
Follow up with overdue and unscheduled patients to keep the schedule full
Communicate professionally with patients regarding appointments, insurance, balances, and office policies
Work closely with doctors, hygienists, assistants, treatment coordinators, and the business team
Recognize problems, take initiative, and help find solutions rather than waiting to be told what to do
Contribute to office goals for scheduling, production, collections, patient retention, and an outstanding patient experience
What We're Looking For
Minimum 2 years of dental front office experience
Strong understanding of dental terminology and dental office workflow
Experience working with PPO dental insurance
Experience verifying benefits and calculating patient responsibility
Strong scheduling skills and an understanding of productive dental scheduling
Comfortable discussing balances and collecting money from patients
Excellent phone and interpersonal communication skills
Strong computer skills and ability to learn dental software quickly
Highly organized with exceptional attention to detail
Able to multitask and prioritize in a busy dental environment
Dependable, punctual, accountable, and professional
Positive attitude and a genuine desire to help patients
Team-oriented while also capable of working independently
Comfortable being held accountable to measurable performance expectations
