Job Description

Front Desk Administrator
Location: Belmont Dental Centre
Position Summary: We are seeking a friendly, organized, and patient-focused Front Desk Administrator to join our team. This role serves as one of the first points of contact for patients while helping support treatment plans, financial arrangements, scheduling, and patient communication.

The ideal candidate is professional, detail-oriented, and passionate about creating exceptional patient experiences while supporting the clinical team and contributing to the growth of the practice.

Key Responsibilities
Patient Experience & Front Desk
Greet patients warmly and professionally
Answer incoming calls and respond to patient inquiries
Schedule, confirm, and manage patient appointments
Manage patient check-in and check-out procedures
Maintain accurate patient records and documentation
Handle patient correspondence via phone, email, and text
Ensure reception and waiting areas remain welcoming and organized
Assist with recall and reactivation programs
Present treatment plans clearly and confidently to patients
Explain treatment options, timelines, and associated fees
Coordinate financial arrangements and payment options
Submit and follow up on insurance pre-authorizations
Verify insurance benefits and coverage information
Follow up with patients regarding recommended treatment
Assist patients in understanding their insurance benefits and financial responsibilities
Optimize provider schedules to maximize efficiency
Manage cancellations and fill openings proactively
Coordinate treatment sequencing and appointment flow
Help achieve clinic production goals through effective scheduling
Monitor unscheduled treatment and patient retention opportunities
Process insurance claims and electronic submissions
Support accounts receivable collection efforts
Assist with daily reports and administrative tasks
Maintain confidentiality and compliance with privacy regulations
Support office projects and team initiatives as required
Qualifications
Previous dental administration experience preferred
Experience with dental software (Tracker) is an asset
Strong understanding of dental insurance and treatment planning preferred
Excellent communication and customer service skills
Strong organizational and multitasking abilities
Professional, positive, and team-oriented attitude
Ability to work independently and as part of a team
