Job Description
Bilingual (Spanish-Speaking) Dental Front Desk Receptionist
The Smile Lounge is seeking a highly motivated, organized, and professional Bilingual (Spanish/English) Dental Front Desk Receptionist to serve as the first point of contact for our patients. This individual will play a critical role in delivering exceptional customer service while ensuring the efficient day-to-day operation of the practice. The ideal candidate must possess strong communication skills, excellent attention to detail, the ability to multitask in a fast-paced environment, and experience with dental insurance verification and scheduling. A positive attitude, professionalism, and a commitment to creating an outstanding patient experience are essential.
Primary Responsibilities
Must be fluent in Spanish and English (verbal and written communication).
Greet and check in patients while providing exceptional customer service.
Answer and direct incoming phone calls, emails, and text messages professionally.
Schedule, confirm, and coordinate patient appointments to maximize provider productivity.
Verify dental insurance eligibility, benefits, frequencies, and remaining coverage prior to appointments.
Obtain pre-authorizations and communicate patient financial responsibilities.
Present treatment estimates and discuss payment options with patients.
Collect co-pays, outstanding balances, and process payments accurately.
Maintain accurate patient records and update demographic and insurance information.
Scan and upload necessary documents into the patient chart.
Coordinate referrals to specialists and obtain referral documentation when necessary.
Monitor and manage unscheduled treatment and recall lists to improve patient retention.
Contact patients regarding overdue treatment and hygiene recare appointments.
Place and track office and dental supply orders, ensuring adequate inventory levels.
Maintain inventory of front office supplies and coordinate with clinical staff regarding supply needs.
Assist with daily reports, deposits, and end-of-day reconciliation.
Ensure HIPAA compliance and maintain patient confidentiality at all times.
Work collaboratively with the doctor and clinical team to ensure efficient patient flow.
Assist with marketing initiatives, patient reviews, and community outreach as needed.
Perform additional administrative duties as assigned to support the success and growth of the practice.
Preferred Qualifications
Minimum 1–2 years of dental front office experience preferred.
Experience with Dentrix or other dental practice management software preferred.
Knowledge of PPO dental insurance verification and billing processes.
Strong organizational skills and attention to detail.
Professional appearance and excellent interpersonal skills.
Ability to multitask, problem-solve, and thrive in a team-oriented environment.
