This role is much more than answering phones—it is about creating an outstanding patient experience from the moment someone contacts our office until their treatment is complete.

Position Summary
The Front Desk Coordinator serves as the communication hub of our practice, ensuring every patient receives outstanding service while supporting the clinical team through efficient scheduling, insurance coordination, financial communication, and administrative excellence. This position requires professionalism, attention to detail, strong communication skills, and the ability to multitask while maintaining a positive attitude.

Primary Responsibilities
Patient Experience
Welcome every patient with warmth, professionalism, and genuine hospitality.

Create an exceptional first and lasting impression of the practice.

Build trusting relationships with patients and families.

Provide outstanding customer service both in person and over the phone.

Maintain patient confidentiality and HIPAA compliance at all times.

Scheduling & Practice Flow
Schedule and confirm patient appointments efficiently using Dentrix.

Optimize provider schedules to maximize productivity while minimizing downtime.

Manage cancellations, broken appointments, and same-day scheduling opportunities.

Coordinate treatment appointments based on doctor and hygienist recommendations.

Assist with recall and continuing care scheduling.

Help maintain production goals through strategic scheduling.

Phone Communication
Answer incoming multi-line phone systems professionally and efficiently.

Schedule new patient appointments.

Address patient questions regarding treatment, insurance, appointments, and office policies.

Route calls appropriately while ensuring excellent phone etiquette.

Return voicemails promptly.

Follow up with patients regarding unscheduled treatment and overdue continuing care.

Insurance & Financial Coordination
Verify dental insurance eligibility and benefits before appointments.

Submit insurance claims accurately and promptly.

Review Explanation of Benefits (EOBs) and process insurance payments.

Assist patients in understanding their dental insurance benefits and estimated out-of-pocket costs.

Communicate financial arrangements professionally and confidently.

Process patient payments and maintain accurate financial records.

Help resolve insurance claim issues and outstanding balances.

Administrative Responsibilities
Maintain accurate patient records in Dentrix.

Scan, upload, and organize patient documentation.

Complete data entry with accuracy and attention to detail.

Process referrals and obtain records as needed.

Maintain an organized and welcoming reception area.

Order and monitor front office supplies.

Assist with daily reports, deposits, and administrative projects.

Team Collaboration
Communicate effectively with doctors, hygienists, assistants, and administrative team members.

Participate in daily morning huddles and team meetings.

Help maintain efficient communication between departments.

Contribute to a positive, respectful, and solutions-focused workplace culture.

Be willing to assist wherever needed to ensure exceptional patient care.

Qualifications
Required
Minimum of 2 years of dental front office experience.

Proficiency using Dentrix Practice Management Software.

Strong understanding of dental insurance verification, claims processing, and insurance terminology.

Experience scheduling dental treatment efficiently.

Knowledge of dental terminology and common dental procedures.

Excellent verbal and written communication skills.

Professional phone etiquette.

Strong organizational and multitasking abilities.

High attention to detail and accuracy.

Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.

Ability to work independently while contributing to a collaborative team.

Preferred
Experience presenting treatment plans and discussing financial arrangements.

Knowledge of dental billing and collections.

Experience with electronic claims processing.

Familiarity with patient financing options.

Bilingual (English/Spanish) is a plus.
