Dental Front Desk Specialist – Dental Experience RequiredOverview
We are looking for an experienced Dental Front Desk Specialist who understands that the front desk is the center of the patient experience and the daily flow of the practice.
Previous dental office experience is required.
The ideal candidate is confident speaking with patients, organized, dependable, and proactive. We need someone who knows how to follow up with patients, keep the schedule productive, fill openings, communicate treatment needs, verify insurance, collect payments, and provide exceptional customer service from the first phone call through check-out.
This position is ideal for someone who does not simply wait for the phone to ring, but actively works the schedule, follows up with patients, and helps create a positive and welcoming experience.
Responsibilities
Provide excellent customer service and create a welcoming experience for every patient
Answer incoming calls professionally and confidently
Schedule new and existing patients appropriately based on their treatment needs
Actively follow up with patients who are due or overdue for treatment or hygiene appointments
Contact patients with unscheduled treatment and help them move forward with recommended care
Work cancellation lists and short-call lists to help fill last-minute openings
Follow up with new patient inquiries and online appointment requests
Confirm appointments and communicate office policies clearly
Manage patient check-in and check-out efficiently
Review treatment plans and help patients understand their next appointments
Verify dental insurance eligibility and benefits
Communicate insurance estimates and patient financial responsibilities
Collect copays, balances, and treatment payments at the appropriate time
Review outstanding patient balances and assist with collection follow-up
Maintain accurate patient information and documentation in the dental software
Scan and organize insurance documents, correspondence, and patient records
Communicate with insurance companies regarding eligibility, benefits, claims, and outstanding information
Coordinate closely with the doctor, hygienists, assistants, and other front office team members
Help maintain a productive schedule by identifying openings and proactively contacting patients
Follow up with patients after missed or canceled appointments to help them reschedule
Maintain patient confidentiality and follow HIPAA requirements at all times
What We Are Looking For
Dental front desk experience is a must
Strong knowledge of dental scheduling and patient flow
Experience with dental insurance verification and benefits
Experience discussing treatment plans and patient financial responsibility
Ability to confidently follow up with patients by phone, text, and email
Strong ability to convert patient inquiries into scheduled appointments
Comfortable contacting patients with outstanding treatment and helping them schedule
Excellent customer service and communication skills
Professional and positive phone etiquette
Strong organizational and multitasking abilities
Ability to remain calm and professional in a busy dental office
Detail-oriented with accurate data entry and documentation skills
Comfortable discussing balances and collecting payments
Reliable, punctual, and able to work well as part of a team
Experience with dental practice management software is strongly preferred
