POSITION: Receptionist
REPORTS TO: Office Manager
POSITION SUMMARY: Demonstrate complete responsibility for the implementation of documented scheduling systems in order to meet practice production goals. Take full responsibility for scheduling all appointments and establishing rapport with patients, fellow team members and members of the community. You will handle interruptions and complex situations with a positive attitude. You will also demonstrate exceptional interpersonal skills with patients and other staff members, on the telephone and in person. You will write legibly and speak clearly. Above all, you will manage the schedule for practice efficiency and follow established scheduling policies.

PRIMARY DUTIES
Not all of these duties will be physically performed by this employee, but they all fall under the purview of this position.

Verbally greet patients in a warm and friendly manner
Track new patient calls and referral sources
Master the use of the computer scheduling system and serve as the practice’s trainer for all scheduling related issues
Review the schedule each morning to ensure the day is set up to flow smoothly
Generate and distribute daily schedule to appropriate staff members
Work with the clinical team to identify appropriate gaps for scheduling emergency patients
Schedule patient appointments following documented scheduling policies
Utilize effective scripts for all patient interactions
Notify chairside assistants or clinical coordinator of changes occurring in the schedule throughout the workday
Coordinate with Office Manager to identify patients owing initial or delinquent payments
Gather and communicate to the clinical team information regarding emergency patients
Conduct semi-annual chart audit to confirm that each patient has future scheduled appointments
Maintain updated patient information in each patient record
Answer telephone calls and respond to inquiries professionally and with outstanding customer service
Communicate with patients regarding missed appointments, schedule changes or any other issues that are related to the schedule
Follow-up on all missed appointments and fill canceled appointments
Follow-up on any messages received first thing each morning and immediately following lunch
Organize and maintain all electronic filing systems for quick retrieval of information
REQUIRED SKILLS
Minimum of 1 year work experience in dentistry
Knowledge of dental procedures
Experience utilizing practice management software
Basic knowledge of Microsoft Word, Google Docs and Excel

WORKING CONDITIONS
Must be able to withstand the stress and demands of an active dental practice
Maintain production statistics daily, monthly, and yearly
Gather appropriate information for Daily Business Meetings and Monthly Business Reviews and disseminate to appropriate staff
Assist with the implementation of practice marketing strategies such as asking for referrals and testimonials
Perform other tasks as assigned by the office manager and doctor(s)
Job Type: Part-time
Pay: $17.00 per hour
