The Anxiety & Trauma Clinic of Nova Scotia is a Canadian-owned and operated private practice based in Bedford, just outside Halifax. We're a specialized anxiety and trauma clinic offering outpatient psychotherapy to clients aged 6 and up, in-person and virtually across Canada.
We hold ourselves to a high standard — clinically, ethically, and operationally. Our front desk is the first point of contact for people who are often anxious, overwhelmed, or reaching out for help for the first time. It matters enormously who sits in that chair.
Who We're Hiring
We're looking for an experienced receptionist to cover our late-afternoon and evening clinic hours — Monday through Friday, 3:00 pm to 7:00 pm.
This is a great fit for someone who wants steady, predictable part-time hours with a consistent schedule, and who takes real pride in running a tight, welcoming front desk.
What You'll Do
Greet and check in clients arriving for in-person appointments, and set the tone for a calm, private, professional space
Answer and triage incoming phone calls, voicemails, and general email inquiries
Book, reschedule, and confirm appointments
Process payments, issue receipts.
Manage our same-day appointment stream — matching new inquiries to available openings quickly and accurately
Prepare the clinic space at close.
Maintain accurate client contact and intake information with strict attention to confidentiality
Support the Clinical Director and clinical team with day-to-day administrative tasks
Protect client privacy at all times, consistent with PHIA and clinic policy

Required Qualifications
Previous reception, front desk, or administrative experience — ideally in a healthcare, medical, dental, or allied health setting
Confident with computers and able to learn new software quickly (scheduling platforms, email, digital payments)
Strong organizational skills and genuine attention to detail
Reliable and punctual. Our clients and clinicians depend on the front desk being covered
Excellent phone manner and clear, professional written communication
Comfortable handling payments, receipts
Discretion and strict confidentiality
Warm, steady, non-reactive presence with clients who may be distressed or anxious
Authorization to work in Canada
Clean criminal record check. Vulerable sector check.
Compensation
Hourly wage, discussed at interview and confirmed in writing. Rate reflects experience, with review after the initial period.
