Job Description
Major responsibilities:
Follow established health center protocol for the check-in, encounter form production, and check-out; including updating patient information related to demographics and insurance, verifying insurance, collecting copayments, and scheduling appointments for Medical, Dental and Behavioral Health
Make reminder phone calls for upcoming appointments or to reschedule patients
Assists walk-in and Open Clinic patients with obtaining appointments and/or picking up prescriptions or completed forms if applicable
Register new patients into the electronic health record system accurately and in a timely fashion. • Provide administrative support and maintain effective communication with staff
Provide non-clinical support to Spanish speaking patients of the ACTION Health
Maintain orderly and accurate filing of records
Copy, mail and/or fax completed forms and/or appropriate supporting portions of health records • Copy dental records as requested by patients, insurance companies, and other outside sources
Receive and document all requests for copies of ACTION Health Center records for Medical, Dental and Behavioral Health • Respond to clinicians and staff requests for charts and chart documents
Accurately prepare new patient charts in accordance with the ACTION Health Center guidelines • Responsible for scanning documents for ACTION Health Center in a timely manner
Book patients for tests and appointments within CHC and/or outside facilities as well as specialists • Assist patients in accessing services by identifying transportation needs, interpretive services requirements, etc.; assist in providing solutions to these needs by utilizing available resources within the practice and/or community • Make sure patients check in and check out of shower daily
Foster a positive, professional, effective working relationship with CHC staff and ACTION Health Center staff with a focus on improving collaborations and team functioning
Attend required trainings
Demonstrates understanding and commitment to the established CHC Values and Standards
Perform other duties as required or assigned
Minimum Qualifications:
High School Diploma
Bilingual in English and Spanish is a plus.
Three years of experience in a healthcare environment preferred medical office environment.
Knowledge of Demonstrated interpersonal relationship skills
Basic medical terminology
Experience with MassHealth, Commonwealth Care and UCP helpful
Computer skills for accurate data entry
Ability to manage multiple priorities
Ability to operate usual office equipment: telephone, computer, copy machine, printers
Experience using Microsoft Office (Word and Excel)
Demonstrated organizational and time management skills
Demonstrated ability to work independently
Demonstrated communication skills (verbal and written skills in English required)
Demonstrated ability to work in a fast paced, physically demanding office environment
Interest in improving cultural competencies required
Ability to multi-task and adapt to a changing environment, and have a strong comfort level in approaching individuals in various settings.
Supervision Exercised: None
Environmental Working Conditions: Normal office environment of a busy Community Health Center and within the community as appropriate to serve the target population is required. The working conditions that must be met by an employee to successfully perform the essential duties of this job with or without reasonable accommodations. Periods of extended time on your feet dealing with the day to day needs of this population being served is expected.
Physical Requirements: Position requires physical ability to move about and function within the Health Center and to perform normal office tasks including computer data entry. Normal visual acuity and standard clerical dexterity to operate computers, printers, photocopiers, and fax machines; moderate walking, standing, reaching, and stooping in order to accomplish everyday office tasks.
