Front Office Receptionist (Bilingual Spanish)
Industrial Medicine / Workers' Compensation Clinic
Position Summary
We are seeking a professional, organized, and customer-focused Front Office Receptionist who is fluent in both English and Spanish to join our Industrial Medicine/Workers' Compensation practice. The ideal candidate will serve as the first point of contact for injured workers, employers, insurance adjusters, attorneys, and medical providers while ensuring efficient front office operations and exceptional patient service.

Essential Responsibilities
Greet patients, employers, adjusters, and visitors in a courteous and professional manner.

Answer and direct incoming multi-line telephone calls.

Schedule, reschedule, and confirm appointments.

Register new patients and update demographic and insurance information.

Verify Workers' Compensation claim information, employer details, and adjuster information.

Obtain authorizations and ensure required documentation is received before appointments.

Check patients in and out while maintaining accurate medical records.

Collect co-payments and other patient balances when applicable.

Scan, upload, and file medical records and legal documentation into the electronic medical record (EMR) system.

Coordinate appointments with employers, nurse case managers, attorneys, and insurance adjusters.

Process incoming and outgoing faxes, emails, and medical records requests.

Prepare daily schedules and maintain provider calendars.

Maintain patient confidentiality in compliance with HIPAA regulations.

Keep the reception area clean, organized, and welcoming.

Assist providers and back-office staff with administrative duties as needed.

Perform additional clerical and administrative tasks assigned by management.

Qualifications
High school diploma or equivalent required.

Minimum of 1 year of front office medical experience preferred.

Experience in Workers' Compensation, Occupational Medicine, Industrial Medicine, Orthopedics, or Personal Injury is strongly preferred.

Bilingual in English and Spanish (spoken and written) is required.

Excellent verbal and written communication skills.

Strong customer service and interpersonal skills.

Ability to multitask in a fast-paced medical environment.

Strong attention to detail and organizational skills.

Proficient with Microsoft Office (Word, Outlook, Excel).

Experience with electronic medical records (EMR) systems preferred.

Knowledge of medical terminology and Workers' Compensation processes is highly desirable.

Preferred Skills
Understanding of Workers' Compensation authorization procedures.

Familiarity with industrial employers and occupational injury documentation.

Experience coordinating with insurance adjusters, attorneys, employers, and nurse case managers.

Ability to prioritize multiple tasks while maintaining accuracy.

Professional appearance and positive attitude.

Strong problem-solving skills and ability to remain calm under pressure.

Physical Requirements
Ability to sit, stand, and walk for extended periods.

Ability to lift up to 20 pounds occasionally.

Frequent use of computers, telephones, and other office equipment.
