Position Summary:
The Patient Coordinator serves as the first point of contact for patients and plays a key role in delivering a welcoming, efficient, and organized office experience. This role is responsible for managing front office operations, supporting patient needs during visits, handling administrative tasks, and ensuring accurate documentation in patient records. The ideal candidate is friendly, detail-oriented, and committed to excellent customer service.
Key Responsibilities:
Front Desk & Patient Interaction:
Greet and check in patients upon arrival.
Address patient questions and requests while they are in the office.
Collect payments for services, orthotics, and other goods.
Scheduling & Insurance:
Schedule and confirm patient appointments.
Verify and update insurance information to ensure accuracy and eligibility.
Ensure all patient chart data is correct and complete in the electronic medical record (EMR).
Documentation & Communication:
Monitor and respond to the office email account.
Retrieve and scan necessary information from office mail.
Complete and scan the daily end-of-day log.
Reporting & Coordination:
Send daily end-of-day summary emails to the Supervisor, Regional Manager, and VP.
Track orders for shoes and inserts; notify patients promptly upon arrival.
Ensure all tasks in DrChrono and Google platforms are completed in a timely manner.
Qualifications:
Previous experience in a front office medical setting preferred.
Knowledge of insurance verification and patient billing processes.
Strong organizational and communication skills.
Comfortable with technology, email platforms, and EMR systems.
Ability to multitask in a fast-paced, patient-facing environment.
Excellent verbal and written skills.
Additional Requirements:
Professional, courteous, and patient-focused demeanor.
High level of accuracy and attention to detail.
Willingness to participate in ongoing training and staff development.
Ability to maintain confidentiality and comply with HIPAA regulations.
