The Opportunity
We are seeking a warm, compassionate, and highly organized Front Desk Receptionist to serve as the welcoming presence of Helixona.

As the first person many patients see when they walk through our doors, the Front Desk Receptionist plays an important role in setting the tone for their experience. This position supports patient communication, scheduling, front office operations, and day-to-day administrative needs while helping create an environment where patients feel genuinely welcomed and cared for.

The ideal candidate brings warmth, professionalism, attention to detail, and a genuine heart for people and healing.

Essential Responsibilities
Welcome and check patients in and out with warmth, professionalism, and attention to their individual needs.

Answer incoming calls, emails, and general communications and connect patients with the appropriate team member when needed.

Schedule, reschedule, and confirm patient appointments according to established clinic workflows.

Maintain awareness of daily schedules and patient flow, communicating delays, changes, or concerns to the appropriate team members.

Maintain accurate patient demographic and administrative information within the Electronic Medical Record (EMR).

Scan, upload, organize, and route patient documents according to Helixona documentation standards.

Maintain a clean, organized, and welcoming reception and front office environment.

Collect patient payments and provide receipts as appropriate, following established clinic procedures.

Monitor front office supplies and assist with inventory and restocking as needed.

Collaborate with clinical, administrative, and operations teams to support a seamless patient experience.

Assist with additional administrative and operational responsibilities as needed to support patients and the team.

EducationRequired
High school diploma or equivalent.

ExperienceRequired
Minimum of one (1) year of experience in a customer-facing, administrative, reception, or similar professional role.

Experience managing multiple responsibilities in a fast-paced environment.

Preferred
Previous experience in a medical office, specialty clinic, or outpatient healthcare setting.

Experience using an Electronic Medical Record (EMR) and patient scheduling systems.

Experience supporting patients with complex or chronic health conditions.

Required Skills

Strong organization, time management, and attention to detail.

Highly efficient and able to prioritize responsibilities, manage time well, and follow tasks through to completion.

Proactive and resourceful, with the ability to recognize what needs to be done and take appropriate action.

Ability to multitask and problem-solve while remaining calm and attentive to patients.

Proficiency with computers and willingness to learn new systems and technology.

Dependable, accountable, and committed to maintaining patient confidentiality and HIPAA compliance.

Comfortable working independently while collaborating effectively with the broader team.

Physical Requirements
Ability to sit, stand, and walk throughout the workday.

Ability to bend, reach, and perform routine office activities.

Ability to lift and move up to 25 pounds occasionally.

Ability to use computers, telephones, and standard office equipment for extended periods.
