Job Description

Job Summary
Patient Experience Coordinator Institute for Functional Health
The Institute for Functional Health (IFFH) is a leading functional medicine practice dedicated to helping people uncover the root cause of their health concerns so they can live healthier, happier, and more fulfilling lives. We believe healthcare should be proactive, personalized, and transformational—not just focused on treating symptoms.

Together, we are building the premier destination for functional medicine in Texas and beyond, changing the way healthcare is delivered one patient at a time.

We specialize in root-cause functional medicine, nutrition, performance and movement, and lifestyle transformation. If you're passionate about creating an exceptional experience for every person who walks through our doors, you'll find this role both meaningful and rewarding.

Our patients are individuals and families who are ready to invest in their long-term health and partner with a team that truly cares about helping them thrive. If you love building relationships, creating memorable experiences, and helping people navigate their healthcare journey, this role is a great fit.

You'll love it here if you...

Lead with Integrity by doing the right thing, following through on commitments, and earning trust every day.

Pursue Growth by embracing feedback, learning continuously, and looking for better ways to serve patients and teammates.

Lead by taking initiative, solving problems proactively, and owning your responsibilities.

Care deeply about every patient, treating them with empathy, kindness, and respect.

Commit to excellence by being dependable, supporting your teammates, and delivering consistent results.

You'll love coming to work every day if you get, want, and have the capacity to...

Deliver an exceptional patient experience from the moment patients begin their journey with IFFH until they achieve their health goals.

Own schedule integrity by ensuring patients stay on track with their personalized care plans while optimizing provider schedules.

Support clinical operations by preparing patient records, managing documentation, and enabling providers to focus on delivering exceptional care.

Coordinate front office operations including patient payments, supplement sales, inventory management, and creating a welcoming environment.

Drive continuous improvement by living the IFFH Way, improving processes, and strengthening our culture of excellence.

You'll have success here if you value clear processes and enjoy following proven systems such as...

Patient Experience Process – Delivering a consistent, welcoming, and personalized experience for every patient.

Scheduling & Care Coordination Process – Managing appointments, confirmations, follow-up, and maintaining schedule integrity.

Clinical Support & Front Office Operations Process – Preparing patient records, maintaining EMR accuracy, processing payments, and managing inventory.

We train our team to succeed, and everyone contributes to our success. As a Patient Experience Coordinator, you'll be accountable for achieving key performance indicators such as...

95%+ of patients leaving with their next recommended visits scheduled.

100% same-day follow-up on no-shows and cancellations.

99%+ scheduling and documentation accuracy while maintaining an exceptional patient experience.

If you come to work ready to learn, grow, and consistently achieve these outcomes, you'll be recognized, supported, and rewarded.

We Run on EOS®
That means you'll be part of a team where your leader is committed to helping you succeed by:
Giving clear direction and priorities.

Ensuring you have the tools and training needed to excel.

Making decisions with the greater good of the team and patients in mind.

Delegating ownership and trusting you to make an impact.

Taking time to understand your strengths and help you grow.

Setting clear expectations and providing regular feedback.

Communicating openly and honestly.

Running productive, efficient meetings.

Meeting with you one-on-one regularly to support your development.

Recognizing and celebrating outstanding performance.

Why Join IFFH?

This is more than a front desk position.

As a Patient Experience Coordinator, you are one of the most important people in a patient's healing journey. You are often the first smile they see, the first voice they hear, and the person who helps transform uncertainty into confidence and hope. Every interaction shapes their experience and reinforces the trust they place in our team.

Your role extends far beyond scheduling appointments or answering phones. You are the connection between our patients, providers, and care teams—helping ensure every person feels welcomed, supported, and cared for from their very first interaction through every step of their wellness journey.

If you're looking for meaningful work where you'll make a difference every day, grow professionally, and become part of a team committed to changing lives through functional medicine, we'd love to meet you.
