Job Description

Front Desk Patient Coordinator – Oral Surgery
Hourly Position with Opportunity for Full-Time Salaried Advancement
Rome Oral Surgery & Implant Center
Rome, Georgia
About Our Practice
Rome Oral Surgery & Implant Center is a locally owned oral and maxillofacial surgery practice serving Rome, Floyd County, and the surrounding Northwest Georgia community.

We are building a patient-centered practice based on compassion, clinical excellence, safety, integrity, teamwork, and exceptional service. We are looking for a motivated Front Desk Patient Coordinator who wants more than simply a receptionist position—we are looking for someone interested in learning, taking ownership of responsibilities, and potentially growing into a long-term career with our practice.

The selected candidate will initially join our team as an hourly employee. A team member who demonstrates excellent performance, reliability, professionalism, initiative, and leadership potential may have the opportunity to transition into a full-time salaried position with performance-based bonus opportunities as the practice grows.

Position Overview
The Front Desk Patient Coordinator plays an essential role in both the patient experience and the daily operations of our practice.

You will be one of the first people our patients and referring dental offices interact with. The ideal candidate should therefore be warm, compassionate, professional, organized, and comfortable communicating with patients both in person and over the telephone.

This position will initially focus on front-office operations, scheduling, patient communication, referral coordination, insurance verification, and financial coordination.

For a motivated candidate, we are also willing to provide training in dental insurance billing and revenue-cycle management, creating the potential for advancement into a Billing Coordinator or other administrative leadership position.

Primary Responsibilities
Responsibilities may include:
Warmly greeting patients and families
Checking patients in and out
Answering incoming telephone calls promptly and professionally
Scheduling consultations, surgical procedures, postoperative visits, and emergency appointments
Maintaining an efficient and productive clinical schedule
Confirming appointments and following up with patients
Receiving and processing referrals from general dentists and specialists
Communicating professionally with referring dental offices
Obtaining referral forms, radiographs, medical records, and other necessary information
Entering and maintaining accurate patient demographic and insurance information
Verifying dental and medical insurance benefits when applicable
Assisting with insurance preauthorizations and predeterminations
Preparing treatment estimates
Discussing financial policies and expected patient portions
Collecting copays, deductibles, treatment deposits, and outstanding balances
Maintaining accurate documentation of patient communications
Scanning and organizing patient records and documents
Protecting patient confidentiality and following HIPAA requirements
Working closely with the surgeon, office manager, clinical assistants, and other administrative team members
Helping maintain an organized, efficient, and welcoming office
Participating in team meetings, training, and practice-improvement initiatives
Opportunity to Learn Dental Billing
For candidates interested in developing their administrative career, this position can provide exposure and training in the financial side of a specialty dental practice.

Depending upon performance and aptitude, responsibilities may gradually expand to include:
Dental insurance claim submission
Electronic claims management
Insurance payment posting
Patient payment posting
Reviewing EOBs
Following up on outstanding insurance claims
Correcting rejected or denied claims
Accounts receivable management
Patient balance follow-up
Coordination of benefits
Insurance fee schedules
PPO insurance processes
Revenue-cycle management
Reporting and monitoring outstanding AR
A team member who develops proficiency in these areas may have the opportunity to advance into a Billing Coordinator position.

Career Growth Opportunity
We want this position to provide a genuine pathway for professional advancement.

The successful candidate will begin as an hourly employee while learning our practice, systems, patients, and workflow.

Based on demonstrated performance and the evolving needs of the practice, there may be an opportunity to transition into a:
Full-Time Salaried Patient Coordinator / Billing Coordinator
with additional responsibilities and performance-based bonus opportunities.

Advancement would be based on factors such as reliability, attendance, professionalism, patient service, accuracy, productivity, teamwork, ability to work independently, insurance/billing competency, leadership, and contribution to the overall success of the practice.

Advancement is performance-based and is not guaranteed after a predetermined period of employment.
