Job Description

Aspire Physical Therapy is a specialty outpatient clinic offering pelvic floor physical therapy, concussion rehab, and orthopedic care. We’re a growing, passionate team dedicated to helping patients feel better, move better, and live better—and we’re looking for an energetic, detail-oriented Front Office Coordinator to join us!

Our Front Office Coordinator is much more than the person at the front desk. You are a key coordinator of the patient journey at Aspire—from that first phone call to scheduling, insurance questions, payments, and every interaction in between. You help patients feel welcomed, cared for, and confident that they’re in the right place while helping our clinicians and clinic stay organized and running smoothly.

If you take pride in your work, genuinely enjoy connecting with people, and thrive in a busy environment where you can take ownership and stay one step ahead, we’d love to meet you.

What You’ll Do
Welcome every patient with warmth and professionalism—creating a positive first impression that sets the tone for their visit
Schedule appointments, manage phone calls, and communicate with provider offices
Answering incoming phone calls and communicating confidently with patients
Responding to voicemails and assisting with referral-related calls and tasks
Collecting copays, coinsurance, deductibles, outstanding balances, and other patient payments
Communicating insurance benefit information to patients after appropriate training
Helping patients understand scheduling and basic billing/insurance questions
Managing multiple tasks throughout the day
Completing administrative tasks accurately and efficiently
Helping maintain an organized, welcoming front office environment
Support clinic operations by staying one step ahead—anticipating needs, solving small problems before they become big ones, and taking initiative to keep the day running smoothly.

Uphold confidentiality and maintain an organized, efficient front office space.

What We’re Looking For
Have excellent verbal and written communication skills
Are very comfortable talking on the phone and communicating with a wide variety of people
Are warm, professional, and patient-focused
Have strong organizational skills and attention to detail
Can confidently discuss and collect money from patients in a professional and compassionate manner
Are comfortable learning to explain insurance benefits and patient financial responsibility
Can multitask and shift priorities without losing track of unfinished tasks
Are self-directed and able to identify what needs to be done during quieter moments
Are dependable, punctual, and take ownership of your responsibilities
Enjoy being part of a collaborative team while also being able to work independently
Are comfortable learning new technology and computer systems
Are looking for a long-term position and a team you can grow with
Previous medical office, healthcare, insurance, scheduling, or customer service experience is helpful, but we are willing to train the right person. Attitude, communication skills, reliability, organization, and willingness to learn are especially important to us.

Why You’ll Love Working Here

Could be open to part-time for the right individual, but hoping for 5 days per week coverage.
