Join Our Team
We are seeking a highly organized, professional, and compassionate Full-Time Administrative Assistant / Receptionist to join our team on a temporary basis, covering a parental leave for 12 to 18 months.
The ideal candidate is dependable, detail-oriented, and thrives in a client-focused environment. They understand the importance of professionalism, discretion, and confidentiality within a mental health setting and take pride in creating a warm and welcoming experience for clients while supporting a collaborative team.
Position Details
Full-time, contract position (40 hours per week)
Monday to Friday, 9:00am – 5:00pm
Competitive compensation: $22–$24 per hour, based on experience; paid vacation time
Option to buy into group benefits program, including extended health, dental, vision care
Complimentary on-site parking
Key Responsibilities
Welcome and assist clients in person, by telephone, and via email
Schedule and manage appointments using Jane practice management software (training provided)
Direct billing with insurance providers (training provided)
Prepare and draft professional correspondence
Maintain accurate and confidential client records
Process payments and issue receipts
Provide basic bookkeeping and administrative support (training provided)
Collaborate with clinicians and administrative staff to ensure smooth daily operations
Qualifications
Excellent interpersonal and customer service skills
Strong verbal and written communication abilities
Ability to maintain strict confidentiality and professionalism
Exceptional organizational skills and attention to detail
Proficiency with Microsoft Office and willingness to learn new software systems including the Jane platform
Ability to manage multiple tasks and work independently
Previous administrative, reception, or healthcare office experience is considered an asset

The interview process will occur in two stages:
1) a telephone screening interview
2) a small number of candidates will be invited for an in-person interview, which will include a straightforward writing task.
Those selected for an in-person interview will be asked to provide three references.
We will require and pay for a vulnerable sector background check upon hiring. This must be completed prior to the first workday.
