Job Description
Spencer Jean & Associates is looking to add a full-time Healthcare Receptionist / Office Assistant to our growing clinic team.
This is a permanent full-time position, approximately 31.5-37 hours per week, with the potential for growth as the clinic continues to grow.
We are looking for someone who is professional, warm, organized, confident with computers, and able to manage a busy front desk environment while providing an excellent patient experience.
Responsibilities
Duties include, but are not limited to:
Greeting and assisting patients in person, by phone, and by email
Answering phone calls in a professional, courteous, and efficient manner
Scheduling, rescheduling, and managing patient appointments
Managing patient flow and helping ensure the clinic runs on time
Processing payments, point-of-sale transactions, and insurance billing
Maintaining accurate patient information and administrative records
Assisting practitioners, staff, visitors, and patients as needed
Coordinating appointments, referrals, and communication with other healthcare offices when required
Following up with patients regarding appointments, referrals, results, or other clinic-related matters
Supporting practitioners with clinic flow and procedures when necessary
Cleaning and preparing treatment rooms between patients
Cleaning and maintaining medical equipment, prep areas, reception, and waiting areas
Helping maintain a clean, organized, professional, and welcoming clinic environment
Completing administrative tasks thoroughly and independently

Computer Skills
Strong computer skills are required. The successful candidate must be confident navigating computers, online systems, scheduling software, email, payment systems, and electronic medical record platforms.
Experience with Jane App EMR is an asset, but not required. Candidates with Jane App experience will be strongly considered.
Qualifications / Requirements
Post-secondary education preferred
Healthcare administration experience is an asset, but not required
Experience in a medical, rehabilitation, wellness, dental, chiropractic, physiotherapy, massage therapy, or multidisciplinary clinic setting is an asset
Jane App EMR experience is an asset
Strong written and verbal communication skills
Strong organizational and problem-solving skills
Ability to maintain confidentiality and professionalism at all times
Must be dependable, punctual, and able to work independently
Schedule
Approximately 31.5-37 hours per week
Permanent full-time position
Must be available during regular clinic hours including every other Saturday (Morning only)
Clinic hours are subject to change
Closed on all statutory holidays
Flexible scheduling for vacation and time off when arranged in advance
Must be able to arrive 15-20 minutes prior to the start of each shift
