Job Description
At West Sound Oral Surgery we pride ourselves on building relationships. Relationships with patients, referring offices and each other.
Our professional administrative staff is growing. The Patient Care Coordinator is a front-office role responsible for scheduling surgical cases, verifying patient insurance eligibility and benefits, coordinating referrals and communications with referring offices, and providing a high level of patient service from first contact through case completion. This person ensures efficient clinic flow, accurate financial intake, and clear interoffice coordination to support clinical teams and patient satisfaction.
Key responsibilities
Manage the surgical schedule: book, confirm, and follow up on pre-op appointments and surgical cases optimize surgeon schedules, and maintain accurate electronic calendar entries.
Verify insurance eligibility and benefits: determine patient financial responsibility, document benefits, and communicate coverage details to patients.
Coordinate with referring offices and external providers: process referrals, exchange clinical information, schedule consults, and track referral outcomes.
Patient communication: answer phones, respond to patient inquiries, provide pre-op instructions and appointment reminders, and escalate clinical or billing questions to clinical staff as needed.
Financial intake and documentation: collect co-pays and deposits, set up payment plans when required, code basic billing information for the billing team, and ensure accurate registration data in the practice management system.
Administrative support: maintain patient records, prepare daily schedule for clinical staff, and assist with audits and reporting as requested.
Skills
Proven work experience customer facing as a Receptionist, Front Office Representative or similar role
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills and attention to detail
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
Familiarity with dental insurance plans, eligibility verification, and prior authorization processes.
Working Conditions
Typical office hours 7-5pm (4 x 10)
On-site role with frequent phone and computer use
Must be willing to commute to both office locations (Port Orchard and Bainbridge Island)
Compensation and benefits
Hourly Rate based on experience
