Job Description
Background
Aloha Eye Clinic and Surgical Center is a long established, independent Ophthalmologist and Optometry practice providing medical eyecare, eye/sight examinations, spectacles, contact lenses and other related services. We have a reputation for high standards of clinical and optical care, expertise in more complex eye problems, a personalized service, a friendly atmosphere and enjoy a loyal clientele.
Duties:
Administrative
General office tasks - including keeping the practice organized, tidy, clean and stocked
Patient records – creating, updating and organizing paper and electronic records
Scanning, sending and receiving reports, referral letters, clinic data and other correspondence
Processing post, orders for goods, invoices from suppliers, NHS claim forms and payments Financial
Use of till - taking cash, cheque and card payments, end of day cashing up and reporting
Setting up and amending Direct Debit payments
Communication
Being the first point of contact - for patients, suppliers and outside organizations
Managing appointments in the diary – taking, amending bookings and confirming bookings
Meeting and greeting patients/customers on arrival
Giving basic advice to patients regarding their clinical and optical care (full training given) Clinical/optical support
Assisting with frame selections and frame display organization
Processing orders for glasses and contact lenses, and arranging patient collection Relationships with other staff and training
You will support the senior receptionists and opticians, dispensing optician and optometrists, through delegated tasks.
Direct supervision and training will be provided by senior receptionist and opticians, dispensing optician and optometrists
There is an opportunity to progress and develop extended roles in the future

You must be able to deal with queries professionally and empathize with people who may be anxious about their eyesight.
You need to be well organized, accurate in your work, and efficient. You need to be able to work well as part of a team and to be calm and flexible when certain jobs need prioritizing.
You need to be confident using Microsoft word and excel, email, and the internet; training will be given for using our in-house software.
You need to be reliable, honest and trustworthy. You need to be able to get on well with the other staff. Experience is not necessary as full training will be given.
