Job Summary
We are seeking a detail-oriented and professional Medical Office Assistant to join our healthcare team. The ideal candidate will provide exceptional administrative support within a busy medical or dental office, ensuring smooth daily operations. This role involves managing patient interactions, maintaining electronic medical records, and supporting clinical staff to deliver high-quality patient care. Experience with electronic health record systems such as Epic and Dentrix, along with strong organizational skills, are highly valued. The Medical Office Assistant will be the first point of contact for patients and visitors, representing our practice with professionalism and compassion.
Responsibilities
Greet patients and visitors warmly at the front desk, providing excellent customer service
Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
Maintain accurate and up-to-date electronic medical records using systems like Epic and Dentrix
Verify patient information, insurance details, and update demographic data as needed
Assist with administrative tasks including filing, data entry, and managing correspondence
Prepare exam rooms and assist clinical staff with patient flow management
Handle appointment scheduling, cancellations, and reminders efficiently
Ensure compliance with healthcare privacy regulations and office policies
Support billing processes by collecting payments and processing insurance claims when necessary
Qualifications
Prior experience as a Dental Receptionist or in a Medical Office setting is preferred
Proficiency with Electronic Medical Records (EMR) systems such as Epic and Dentrix is highly desirable
Strong knowledge of medical terminology and office procedures
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Experience working with multi-line phone systems and front desk operations
Previous office experience in healthcare or administrative roles is advantageous
Exceptional communication skills and a professional demeanor are essential
Ability to work collaboratively within a team while maintaining attention to detail
