Title: Medical Office Administrator
About Latitude Food Allergy Care
Latitude Food Allergy Care is a well-funded, high-growth healthcare services company currently operating in the San Francisco Bay Area and New York City. It is about to expand to Los Angeles. Latitude is at the forefront of food allergy prevention, diagnosis, and care for babies, children, and adults. We are on a mission to change the lives of all food allergy families through exceptional care. Our founders and team have deep personal and professional experience in treating food allergies, and we are looking to expand our team with people who are similarly driven to grow a patient-centric, hospitality-minded model of care.
Latitude currently has seven locations and is planning rapid expansion throughout the LA area and around the country.
Role
Do you derive great satisfaction when you help others? Do you love to make someone’s day by greeting them with a smile? Do you have a special kindness and a calming energy that will help children and families get through challenging times? Do you equally value efficiency and hospitality? Are you excited by the idea of working with a passionate team and being part of a purpose-driven company? If this sounds like your thing, then read on!
We are looking to hire an energetic and self-driven office administrator to create and implement an unforgettable hospitality-centered patient experience. As the first point of contact for our patients, you will run and own the day-to-day operations in your clinic. This position is ideal for an individual who enjoys working in a fast-paced environment where multi-tasking skills are key.
Responsibilities
Patient-Centric Care: Ensure that patients are at the center of everything we do, providing an exceptional experience at every touchpoint.

Patient Interaction: Build relationships with patients and their families, understanding their needs and personalizing their care. Help guide food allergy families through their diagnostic and treatment journey to ensure the best outcomes.
Appointment Management: Maintain an office weekly scorecard to monitor and retain as many appointments as possible each day, aiming to meet and exceed clinic financial goals.
Communication: Serve as the central point of contact for daily communication, facilitating feedback between doctors, staff, and yourself. Enhance team collaboration and clinic operations while upholding and enforcing Latitude’s Core Values to foster a healthy team culture.
Administrative Tasks: Welcome patients, schedule appointments, handle billing issues, remind patients of their upcoming visits, order and manage supplies, enter data in Latitude’s software systems, manage multi-phone line systems, and be willing to provide administrative coverage across all LA Latitude sites when your clinic is not needed.
Quality Assurance: Go above and beyond to uphold Latitude’s strong reputation and positive NPS scores, even if it requires making decisions that aren't the easiest for our team, ensuring every patient is delighted when they enter and exit our clinic every day. Safeguard patient privacy and confidentiality at all times (comply with HIPAA).
Project Management: Own your projects and consistently follow through to ensure they are completed in a timely fashion and with the utmost care.
