Job Description
Medical Office Assistant / Receptionist
Spokane River Birth Center is looking for a dependable, friendly, and highly organized Medical Office Assistant / Receptionist to join our small team.
This person is often the first point of contact for our clients and plays an important role in keeping the birth center organized and running smoothly. We are looking for someone who is warm and professional with patients, but who is also extremely detail-oriented, dependable, and able to follow tasks through to completion without constant supervision.
This is a part-time position with three set workdays each week. Because our clinical team depends heavily on front-office support, consistent attendance and reliability are very important.
Responsibilities include:
Answering incoming phone calls, taking accurate messages, and directing clinical questions to the appropriate midwife
Greeting clients and providing a welcoming, professional front-desk experience
Scheduling and rescheduling prenatal, postpartum, consultation, and other appointments
Responding to routine client inquiries by phone, email, and electronic messaging
Following up with prospective clients after consultations
Collecting and documenting client payments
Maintaining accurate demographic, insurance, and other patient information
Receiving, scanning, uploading, faxing, and organizing medical records and other documents
Monitoring incoming reports, lab results, screening results, referrals, and other correspondence and ensuring they are placed in the appropriate patient chart for provider review
Preparing and managing patient forms, releases, referrals, and routine office paperwork
Communicating with outside healthcare offices, laboratories, imaging facilities, and other organizations as needed
Maintaining confidentiality of patient information and following HIPAA requirements
Keeping the reception area and common office spaces clean, organized, stocked, and welcoming
Monitoring office supplies and notifying management when supplies need to be reordered
Assisting the midwives and owners with routine administrative projects and office tasks
Identifying incomplete or outstanding tasks and following them through to completion
Bringing questions, concerns, unusual situations, or potential problems promptly to management
What we are looking for:
Above all, we are looking for someone who is reliable and pays close attention to detail. Our office handles a large amount of patient information, scheduling, records, and communication, so small details matter.
The ideal candidate will:
Be consistently dependable and able to work their three regularly scheduled days
Have excellent attention to detail and organizational skills
Be comfortable managing several tasks and priorities throughout the day
Communicate professionally and compassionately with pregnant and postpartum clients
Be comfortable using computers, email, electronic medical records, and online scheduling systems
Be able to work independently and recognize what needs to be done
Exercise good judgment and know when a question needs to be escalated to a midwife
Maintain discretion and confidentiality when working with sensitive medical information
Have strong written and verbal communication skills
Preferred experience:
Previous experience in a medical office, OB/GYN office, birth center, dental office, chiropractic office, or other healthcare setting is preferred but not required. Experience with medical scheduling, electronic health records, insurance information, or medical records is a plus.
Schedule: Part-time, three set days per week
Pay: $19.00–$23.00 per hour, depending on experience
We are a small, independently owned birth center and midwifery practice. The right person for this position will become an important part of our team and should enjoy working in a close-knit healthcare environment where their work directly affects both the client experience and the day-to-day functioning of the practice.
Pay: $19.00 - $23.00 per hour
Expected hours: 20.0 – 30.0 per week
Benefits:
Free parking
Paid sick time
Wellness program
People with a criminal record are encouraged to apply
