Medical Receptionist & Call Center Coordinator – Advanced Aesthetic Medicine Practice

We are seeking a Medical Receptionist & Call Center Coordinator who excels at patient communication, thrives in a fast-paced environment, and delivers the warmth of luxury hospitality while supporting a sophisticated medical practice. This role combines high-volume call management with front desk responsibilities and is essential to the daily success of our practice.
WHAT YOU'LL DO
Serve as the first point of contact for patients by phone and welcome every patient professionally at the front desk.
Answer and manage a high-volume, multi-line phone system with confidence, professionalism, and exceptional customer service.
Schedule consultations, procedures, and follow-up appointments accurately while optimizing provider schedules.
Develop a thorough understanding of TKI's services, including aesthetics, internal medicine, regenerative medicine, and dental care, to confidently answer patient questions.
Process payments, verify patient information, coordinate pre-treatment communications, and maintain accurate medical records in compliance with HIPAA.
Monitor scheduling gaps, cancellations, and no-shows while proactively communicating opportunities to the operations team.
Maintain a welcoming, organized, and professional reception area.
Support practice events, promotions, and other administrative initiatives as needed.
WHAT WE'RE LOOKING FOR
3–5 years of customer service, medical reception, call center, hospitality, or patient-facing experience; medical or aesthetic practice experience is strongly preferred.
Outstanding phone etiquette and written communication skills.
Ability to manage multiple tasks and high call volumes while maintaining accuracy and professionalism.
Exceptional attention to detail and strong organizational skills.
Professional appearance and demeanor that reflects the standard of our practice.
Experience with EMR and scheduling software is preferred; willingness to learn is required.
