Job Description

Position Overview
This role exists to fully own the day-to-day front office and patient check-in/check-out experience. Reporting to the Office Manager, you will be the first and last point of contact for every patient, both in person and by phone, trusted to run daily front-desk operations independently while following practice policies and direction from leadership.

Core Responsibilities
Own the full patient check-in and check-out process, ensuring every patient is greeted, processed, and on their way with no delays or errors in their visit paperwork
Manage all incoming calls and voicemails, ensuring messages are accurately logged and routed to the correct team member within 24 hours
Manage the patient scheduling system, keeping the daily schedule accurate and up to date with minimal gaps, double bookings, or last-minute scrambling
Process patient payments accurately and issue receipts, maintaining a clean, error-free record of all transactions
Maintain accurate and current patient records, including new patient forms, consent forms, insurance information, and financial details, ensuring nothing is missing or outdated
Handle scanning, faxing, and emailing of patient documents promptly and accurately, so records move between systems without delay
Own the in-person and phone experience for every patient and family, ensuring each interaction reflects our calm, collaborative, and attentive standard of care
Qualifications & Skills
Must-Haves
Proven ability to manage multiple tasks at once (phones, check-in, scheduling) without dropping details or falling behind
Experience using an EHR system and Google Drive in a prior role
Demonstrated reliability, consistent attendance and on-time arrival in past positions
History of picking up new systems or processes quickly with minimal repeated training
Comfortable and genuinely at ease working with children and their families
Able to stay calm and professional with a stressed or upset parent, de-escalating rather than mirroring the tension
Track record of following through on tasks without needing reminders, and communicating proactively when something is off track
Nice-to-Haves
Experience with Asana or a similar project management tool
Experience with GoHighLevel CRM platform
Prior experience in a pediatric or naturopathic/holistic healthcare setting
Details
Compensation: $20–22/hour, based on experience
Schedule: Monday through Friday, 8:30am–5pm, with a required 30-minute lunch break each day
Location: In-person at our Scottsdale, Arizona clinic
Growth: Opportunity to grow into roles such as Patient Care Coordinator for the right person who demonstrates strong ownership and reliability
